Job Purpose:
As an HR Operations Specialist, you will support diverse workforce administration processes, such as transfers, salary changes, promotions, and terminations. Additional duties you will carry out include fostering positive employee relations and ensuring the legal compliance of HR operations practices.
Job Responsibilities:
- Maintain and update accurate employee records in accordance with internal policies and regulatory requirements.
- Administer all employee services, including Qiwa platform management, health insurance coordination, and GOSI registration and updates.
- Handle employment lifecycle changes such as promotions, transfers, and terminations efficiently and accurately.
- Manage employee relations issues, including conflict resolution and disciplinary actions, ensuring fairness and compliance with company policies.
- Ensure adherence to HR policies and labor law regulations; support compliance audits and prepare required reports.
- Facilitate the offboarding process and ensure a seamless transition for departing employees.
- Respond to internal and external HR-related queries in a timely and professional manner.
- Collect and maintain documentation related to employee leaves and travel requests in personnel files.
- Liaise with the Ministry of Labor and Labor Office for updates on labor regulations and to resolve HR-specific compliance matters.
- Assist employees with leave management, end-of-service settlements, and issuance of employment certificates.
- Monitor employee attendance and absenteeism; compile and report statistical data to the HR Manager.
- Ensure comprehensive understanding and application of HR processes and procedures.
- Issue employment letters and certificates in alignment with organizational HR policies.
- Coordinate with the Finance Department to resolve payroll discrepancies and ensure accurate processing.
Qualifications and Experience:
- Bachelor’s degree in human resources, Business Administration, or a related field.
- 4–7 years of experience in HR operations or generalist roles.
- Strong understanding of labor laws and HR best practices.
- Proficiency in using SAP SuccessFactors.
- Proficiency in Microsoft Office applications, especially Excel and Word.
- Create dashboards to track and monitor HR processes, ensuring real-time updates and accurate follow-up on all procedures.
- Excellent attention to detail and organizational skills.
- Strong interpersonal and communication skills.
- Ability to handle confidential information with discretion.
