Responsibilities:
* Establish and maintain a systematic document control system, ensuring proper organization, storage, and retrieval of project documents
* Oversee the processing, distribution, and archival of documents including contracts, specifications, drawings, and correspondence
* Coordinate with project teams to ensure timely submission of documents and that all required documentation is prepared in accordance with project specifications
* Monitor document flow processes, tracking changes and revisions to ensure compliance with internal standards
* Prepare and maintain reports on document status, submission timelines, and compliance metrics for management review
* Train and support team members on document control standards and procedures
* Act as the point of contact for all document control-related inquiries and issues
* Continuously seek opportunities to improve document management processes and systems for increased efficiency
Requirements:
* Bachelor's degree in business administration, Information Management, or a related field preferred
* Minimum of 12+ years of experience in document control or administration, preferably within the construction, real estate or project management sector
* Strong knowledge of document control processes, software tools, and systems
* Excellent organization and time management skills, with meticulous attention to detail
* Strong communication and interpersonal skills to work effectively with team members and stakeholders
* Proficiency in Microsoft Office Suite and document management software is essential
* A proactive approach to problem-solving and the ability to adapt to changing priorities
* Strong analytical skills with the ability to maintain accurate records and generate reports
