Job Description
About the Role:
We are seeking a detail-oriented and proactive Project Coordinator to support our project management team. The Project Coordinator will play a crucial role in ensuring the smooth execution of projects by assisting with planning, coordination, documentation, and communication. This position requires excellent organizational skills, the ability to manage multiple tasks simultaneously, and a basic understanding of technical drawings.
Responsibilities:
- Assist in the development of project plans and schedules.
- Coordinate project activities with internal teams and external vendors.
- Prepare and update weekly progress reports, project trackers, and presentation decks.
- Maintain and organize project files, including permits, drawings, quotations, contracts, and invoices.
- Review, manage, and compile shop drawings in coordination with engineers and designers.
- Utilize AutoCAD to read and make minor edits to technical drawings and layouts.
- Follow up on procurement processes, delivery schedules, and supplier coordination.
- Support the preparation and submission of project documentation to malls, consultants, and relevant authorities.
- Communicate project updates, potential issues, and progress to the Project Manager and stakeholders.
- Coordinate site visits and inspections, prepare minutes of meetings (MOMs), and track follow-up actions.
- Track and assist in the closing out of project financials and documentation post-handover.
Requirements:
- Proven experience as a Project Coordinator or in a similar administrative role within a project-oriented environment.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Basic proficiency in AutoCAD with the ability to read and make minor edits to technical drawings and layouts.
- Experience in managing project documentation and maintaining organized filing systems.
- Ability to work independently and collaboratively within a team.
- A proactive approach to problem-solving and attention to detail.
