Job Description

Job Purpose
The Admin Officer will be responsible for delivering localized administrative support to the Riyadh's office. The role ensures quick response to government-related processes, supports employee onboarding, manages vendors, handles office maintenance, and improves communication and coordination within the team. This position is critical to enhancing operational efficiency and supporting overall business performance in Riyadh.

Key Responsibilities
Government Process Support
Handle all Riyadh-based government-related tasks including Muqeem, Tamm, Yakeen, Amn, visit visas, and Iqama renewals.
Submit and follow up on documentation with authorities to ensure timely processing.
Team & HR Coordination
Assist HR with onboarding tasks, employee documentation, and administrative needs.
Act as the local point of contact to support the Riyadh team in daily administrative requirements.
Improve internal communication by serving as a bridge between Riyadh staff and central departments.
Office & Vendor Management
Manage vendor relationships, including sourcing, negotiation, purchase orders, and invoicing.
Monitor and maintain office supplies, equipment, and facility needs.
Oversee office cleanliness, repairs, and maintenance in coordination with service providers.
Support internal training sessions and manage related logistics (travel, bookings, materials).
Procurement
Source vendors and request quotations based on business needs.
Ensure compliance with company procurement policy.
Track vendor performance and maintain supplier databases.
Handle petty cash and process related reports.
General Administration
Issue administrative letters and support legal documentation as required.
Coordinate with the receptionist, drivers, and other support staff to ensure smooth daily operations.
Prepare reports on office activities, costs, and vendor performance.

Qualifications and Skills
Bachelor’s degree in Business Administration or related field.
2–4 years of relevant administrative and procurement experience.
Strong familiarity with Saudi government portals.
Proficient in Microsoft Office tools.
Excellent communication, coordination, and organizational skills.
Ability to manage multiple priorities efficiently.
