Job Description

Job Overview:


Here's your chance to step into the role of Executive Assistant, you'll take on key responsibilities that include:


• Complete a broad variety of administrative tasks that facilitate the senior management ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.

• Arrange and handle all logistics for Executive meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. Adhere to compliance with applicable rules and regulations for executive meetings and events.

• Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the senior management, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect senior management style and organization policy.

• Manage Senior Management diaries and schedules carefully. Work closely with the senior management to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate senior management needs in advance of meetings, conferences, etc.

• Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the senior management and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.

• Provide hospitality to all guests and help to create a welcoming environment.

• Invest in building long-lasting relationships external and internal stakeholders.


About you:

The preferred candidate for this role should possess the following experience and credentials:

  • At least 7 years of EA / Office Administration experience, with proven ability to work with senior management and stakeholders
  • University Graduate
  • Excellent interpersonal and communication skills (both written and oral) skills, demonstrating outstanding ability to correspond with colleagues, internal and external customers.
  • Excellent computer skills with proficiency in Microsoft Office and relevant projects management software.
  • Detailed oriented, able to track and organize information data communications efficiency.
