Position Title: Executive Assistant / Secretary – Signage & Outdoor Media

Job Overview:

Emirates Talent Solution is hiring a dedicated and highly organized Executive Assistant / Secretary for a leading company in the signage and outdoor media industry based in Sharjah. This role is ideal for a resourceful individual with strong administrative skills, excellent communication abilities, and the capacity to support senior management in a dynamic, fast-paced environment.

Key Responsibilities:

Executive & Administrative Support

  • Manage calendars, meetings, and day-to-day schedules for senior executives
  • Draft, edit, and prepare reports, presentations, and business documents
  • Maintain organized filing systems and confidential records

Communication & Coordination

  • Serve as a liaison between the executive team and internal/external stakeholders
  • Coordinate travel arrangements, including flights, hotel bookings, and itineraries
  • Ensure seamless communication flow across departments

Meetings & Events

  • Organize meetings, conferences, and internal events
  • Prepare agendas, take minutes, and follow up on deliverables
  • Ensure all materials and logistics are arranged in advance

Confidentiality & Discretion

  • Handle confidential information with a high level of professionalism
  • Ensure secure management of sensitive documents and data

Office & HR Support

  • Oversee office supply management and administrative processes
  • Assist HR with onboarding, documentation, and general coordination tasks

Requirements:

  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field
  • 5–7 years of experience in a similar executive support role (required)
  • Strong command of Microsoft Office (Excel, Word, PowerPoint, Outlook)
  • Excellent communication skills in English (Arabic is a plus)
  • Proven ability to multitask and manage priorities independently
  • High attention to detail, discretion, and professionalism
  • Prior experience in the signage or outdoor media industry is an added advantage
