Job Description
Summary

To assist the IT Manager in implementing an effective, efficient and uninterrupted day-to-day operation of the Information Systems in all areas of the hotel. To ensure an effective administration, reporting system and transfer of skills in all related areas. Must demonstrate excellent technical and team skills. To provide Technical Assistance, advice all associates how to minimize overhead expenses and maximize productivity in all areas.

Key Responsibilities

  • To provide a courteous, professional, efficient and flexible service at all times, following WHG Standards of Performance and clear understanding of set IT policy and procedure.
  • Involved in day-to-day operation/audit and advise the IT Manager for any abnormal happenings.
  • To have a full working knowledge and capability to supervise, correct and demonstrate all duties and tasks in the assigned Place of Work to the standard set.
  • To be entirely flexible and adapt to rotate within the different sub departments of the Information Technology Division or any other Department of the hotel as assigned.
  • To be fully conversant with all Information Technology services and facilities offered by the hotel.
  • To assist authorized users in relation to operation of the hotel’s I.T. system hardware/Software, various modules and supporting personal computers.
  • Ensure that preventive maintenance required by any I.T. equipment in the hotel carried out appropriately.
  • Coordinate the timely repair and return to service of any faulty systems or items of equipment.
  • Establish and implement procedures to ensure the backup of data in any I.T. system.
  • To rebuild/restore data corrupted by either hardware or software faults.
  • To coordinate the investigation and timely handling of any software fault reports or enhancement requests.
  • Set up/follow emergency procedures to continue the operation of the hotel in the event of system failure.
  • Provide/follow manuals on the use of any I.T. systems and incorporate those manuals into the relevant operating procedures of the hotel.
  • Arrange/automate the distribution of Night Audit and other regularly system-produced reports.
  • To establish necessary security measures to prevent unauthorized access to the I.T. systems.
  • To provide technical assistance to internal or external Audit staff.
  • To work with the Rooms, Sales & Marketing, F&B Department and Operational Departments to set up and maintain clean relevant databases for management purpose.
  • Identify and resolve problems associated with operating system malfunctions.
  • Knowledge of Firewall, Switches, Routers Network Environment
  • Overall, Knowledge of Domain, Active Directory and Domain/Organizational Unit Policy.
  • Maintain Hardware/Software, Network and data communication services.
  • Work under stressful conditions.
  • Able to respond to any changes in the I.T. function as dictated by the industry, company and hotel.
  • Project at all times a positive and motivated attitude and exercise self-control.
  • Should have a complete understanding of the Night Audit, month ending, and year ending process for all hotel modules section in the Operations Manual and Policies & Procedures.
  • Should be able to handle guest and employee inquiries in a courteous and efficient manner and report guest complaints or problems to IT Manager if no immediate solution can be found and assure follow up with guests.

Responsible to carry out quarterly, bi-yearly, yearly inventory of operating equipment.

COMMUNICATION

  • Assist the IT Manager in the continuous availability of a hierarchy to deal with an emergency in any essential I.T. system.
  • Maintain a good rapport and working relationship with staff in the outlet and all other departments.
  • Provide a courteous and professional service at all times.
  • Supervise the training of users in the basic operation and maintenance of desktops, printers and other related components.
  • Conduct basic training and informational sessions.
  • Follow associate/IT policies and procedures.
  • Communicate effectively and maintain favorable public relations.
  • Bachelor's degree in computer science, information technology, or a similar area.
  • Prior experience in an IT support or systems administration position, ideally within the hospitality sector.
  • Skilled in using Microsoft Office programs.
  • Outstanding skills in resolving issues and diagnosing problems.
  • Capability to convey technical details to non-technical personnel successfully.
