Job Description
Key Responsibilities:
- Office Management:
- Oversee the day-to-day operations of the office, ensuring a clean, organized, and productive work environment.
- Manage office supplies, equipment, and vendor relationships (e.g., cleaning services, IT support, maintenance), negotiating contracts and ensuring cost-effectiveness.
- Coordinate office events, meetings, and team activities, including logistics, catering, and venue arrangements.
- Implement and maintain efficient office policies and procedures to streamline operations.
- Manage mail, deliveries, and general office communications.
- Executive Support:
- Provide comprehensive administrative and secretarial support to senior executives, including managing complex calendars, scheduling appointments, and coordinating meetings (internal and external).
- Prepare and edit correspondence, reports, presentations, and other documents, often handling confidential and sensitive information with utmost discretion.
- Arrange domestic and international travel logistics, including flights, accommodation, visas, and detailed itineraries.
- Screen and direct calls and emails, prioritizing and responding independently where appropriate.
- Process expense reports and manage petty cash or departmental budgets as required.
- Act as a primary point of contact for internal and external stakeholders on behalf of the executives.
Qualifications:
- Proven experience in an office management, administrative, or executive secretarial role.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- High level of professionalism, discretion, and confidentiality.
- Ability to work independently with minimal supervision and as part of a team.
- Problem-solving skills and a proactive approach to anticipating needs.
