Job Description
Allmed Group of Companies is looking for a dedicated and detail-oriented Operations Coordinator to support our Operations Department at the Head Office. The ideal candidate will be responsible for ensuring effective coordination between Sales and Operations, maintaining complete documentation, and managing all activities related to contract execution and compliance with relevant authorities.
Key Responsibilities:
- Coordinate with Sales and Operations departments to meet all contract prerequisites.
- Compile necessary documents and prepare summaries for stakeholder review and approvals.
- Prepare and submit contracts according to customer requirements, maintain acknowledgment records, and act as custodian for all contract documentation.
- Manage all contract-related correspondence and maintain logs for order fulfillment, contract execution, and payment processing.
- Issue official letterheads to branches and maintain their record.
- Handle documentation related to delivery extensions, billing, bank guarantee submissions/releases (BG/APG), and maintain DGDP BG logs.
- Collect and maintain installation reports, CRVs, I-Notes, joint inspection reports, and acceptance certificates from government and private institutions.
- Maintain agency/distribution agreements and authorization letters attested by relevant authorities, and coordinate with Sales and Operations.
- Manage e-tendering processes, procurement registrations, and serve as the custodian of related credentials.
- Oversee vendor registration and prequalification, including verification, security clearance, and physical audit coordination.
- Ensure timely registrations and renewals with regulatory bodies such as PNRA, PEC, FFH, PTCs, KCCI, HDAP, PDBC, and ISO (9001:2015, 13485:2016).
- Maintain official letter logs and assign reference numbers to staff correspondence.
Candidate Requirements:
- Bachelor’s degree in Business Administration, Supply Chain Management, Bio Medical Engineering or a related field.
- Minimum 2 years of relevant experience in operations coordination or contract management.
- Strong command of MS Office and familiarity with tendering platforms.
- Excellent documentation, communication, and organizational skills.
- Ability to coordinate with government and private institutions professionally.

Pay: Rs60,000.00 - Rs100,000.00 per month
