Personal & Administrative Assistant
Location: Dallas–Fort Worth, TX (in-person preferred, hybrid considered)
Reports to: Roland Cuellar
Type: Full-time, entry-level
Compensation: $60,000–$70,000 not including success bonuses , commensurate with experience
About the Role
I run Cuellar Capital Strategies / Advisory, a professional services practice focused on Risk, Wealth, and Asset Management and Advisory services, and I’m looking for a sharp, organized, discreet right-hand person to help keep things running smoothly. The role is part executive assistant, part personal assistant, part project coordinator. Day to day, you’ll be the person making sure clients get answered, deliverables go out clean, my calendar makes sense, and small fires don’t become big ones.
This is an entry-level role, ideal for someone early in their career who is hungry to learn, organized by nature, and ready to grow inside a fast-moving practice. I move quickly, juggle several lines of work, and need someone who can keep up, anticipate the next step, and own things end-to-end.
What You’ll Do
Executive & Administrative Support
- Manage my calendar, meetings, and travel, including coordinating with clients across San Antonio, Dallas, Houston, and beyond
- Triage and respond to email on my behalf; flag what actually needs my attention
- Track action items and follow-ups from meetings and client calls so nothing slips
- Handle expense tracking, invoicing, and light bookkeeping coordination with my accountant
- Maintain organized digital and physical files
Client & Project Coordination
- Prepare client-facing materials: professional bios, proposals, presentations, renewal packages, and engagement summaries
- Coordinate document collection, signatures, and onboarding for new clients
- Maintain CRM and contact records; keep client communications timely and consistent
- Support quoting, binding, and renewal workflows
Content & Marketing Support
- Format and polish blog posts, articles, and LinkedIn content
- Help maintain web presence
- Coordinate with designers, writers, or other contractors as needed
Personal Support
- Run occasional errands, schedule personal appointments.
- Research and book travel, restaurants, and gifts
- General “make life run smoother” tasks
Who You Are
Required
- Strong written communication
- Highly organized, with a system (or the instinct to build one) for tracking many moving pieces
- Tech-comfortable: Microsoft 365 and/or Google Workspace, Zoom/Teams/GoTo, Adobe Acrobat, basic spreadsheet work
- Discreet with confidential client and financial information
- Self-starter who can take a vague instruction and come back with a clean result
- Valid driver’s license and reliable transportation
Nice to Have
- Internship or part-time experience in an office, administrative, or client-service setting
- Familiarity with CRM tools (HubSpot, Salesforce, or similar)
- Basic design sensibility (Canva, light formatting in Word and PowerPoint)
- Bilingual English/Spanish
Schedule
Standard business hours with occasional after-hours flexibility around client deadlines or travel.

Pay: $60,000.00 - $70,000.00 per year
