SUMMARY/OBJECTIVE:Dentons Bingham Greenebaum LLP has an excellent opportunity for an experienced Legal Administrative Assistant in our Indianapolis office. This role supports multiple attorneys mostly, but not exclusively, in the Tax &amp; Litigation practice departments. The ideal candidate will have at least 7 years of experience working as a Legal Administrative Assistant with a sophisticated Litigation practice group. Experience with contract and commercial disputes, products liability and mass tort, and/or employment litigation is a plus.This position will include traditional LAA responsibilities including but not limited to: preparation of detailed legal documents, electronic filings, client management, formatting, proofreading and editing of documents, travel arrangements, and other legal assistant functions. We seek candidates that are self-directed, high energy, and have advanced computer skills.Responsibilities:<ul><li>Maintain positive contact and communications with clients, attorneys and staff in large law firm environment.</li><li>Preparation and processing of documents including electronic filings.</li><li>Maintain schedules and calendars for multiple attorneys and transactions, tracking of critical dates.</li><li>Open new client matters.</li><li>Maintaining accurate and current information in case management system/iManage.</li><li>Meet client deadlines and adapt to industry changes.</li><li>Ensuring timely delivery of outgoing mail, messenger deliveries, overnight deliveries, etc.</li><li>Ensuring timely, courteous, and thorough responses to a heavy volume of email correspondence.</li><li>Proofreading and editing legal documents timely.</li><li>Providing support to attorneys in a high volume, time sensitive atmosphere.</li><li>Performing other duties and responsibilities as needed.</li></ul>Job Requirements:<ul><li>7+ years of legal secretary experience preferred. Experience with contract and commercial disputes, products liability and mass tort, and/or employment litigation is a plus.</li><li>Solid understanding of the legal process with considerable knowledge of legal terminology regarding litigation documents and litigation procedures including rules and procedures of the State, Federal and Appellate court systems.</li><li>Excellent computer/technical skills and effective communication skills a must.</li><li>Attention to detail with excellent proofreading skills.</li><li>Proven success as a positive team player as well as an independent worker.</li><li>Ability to multi-task and balance multiple projects and priorities simultaneously.</li><li>Concrete understanding of Partner level communication styles, expectations, turnaround demands and sense of urgency.</li><li>Learns quickly, aptitude for detail oriented projects, and eager to grow with this practice group.</li></ul>Working Conditions:We are seeking a talented individual who is located in Indianapolis, Indiana, and who can thrive in both an in-office and a remote working environment.The above is intended to describe the general content of and requirements for the performance of this job. Legal Administrative Assistant - Tax & Litigation

Major Function:Perform a variety of administrative, accounting and accounts payable duties according to established policies and procedures in order to maintain accurate financial and billing records and reports. Observe confidentiality of client and law office matters. Assist in preparation of financial analyses, budgets, and reports on a periodic basis.Essential Duties and Responsibilities of Accounts Payable Specialist:&ldquo;Essential functions&rdquo; are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.<ul><li>Utilize computerized accounting, timekeeping and billing, payables, and other software programs.</li><li>Follow established procedures for entering, releasing, tracking and monitoring approved check requests, invoices, expense reimbursements, credit card expenses, seminars, dues, charitable and civic sponsorships, quarterly tax payments, and other payable requests. Follow procedures for all periodic deadlines.</li><li>Initiate outgoing wires per established policies and procedures and post corresponding General Ledger journal entries.</li><li>Enter soft costs associated with specific services, fees, and Firm departments on a pre-determined, scheduled basis.</li><li>Make charges on the firm&rsquo;s AMEX card for approved invoices/firm expenses. Periodically review invoices for opportunities to shift payment to AMEX.</li><li>Process filing fees charged by attorneys and LAAs on the A/P Specialist&rsquo;s AMEX card through Chrome River.</li><li>Responsible for timely and accurate mailing / routing of checks (internally and externally).</li><li>Obtain W9 forms prior to requesting new vendor setup for all individuals/organizations who will receive a 1099 and retain forms for review during annual 1099 processing.</li><li>Issue 1099&rsquo;s to qualifying vendors and submits electronic file to IRS.</li><li>Serve as backup to the Accounts Payable Supervisor for Chrome River functions including report approvals, importing and posting expense report data in Elite, completing bi-monthly direct pay exports, providing invoice copies upon request and other requests as needed.</li><li>Reply to Auditor's Letters from a paralegal or attorney.</li></ul>Qualifications of Accounts Payable Specialist:<ul><li>Knowledge of basic accounting principles and statistics in order to provide financial reports at a level normally acquired through an associate degree in accounting or equivalent work experience.</li><li>Computer/software proficiency with the basic Microsoft Office products as well as PDF and scanning software.</li><li>A minimum of 3 years of progressively responsible accounts payable experience necessary to gain the expertise needed to carry out accurate accounting and bookkeeping duties.</li><li>Ability to organize and prioritize tasks and complete them under time constraints with a high degree of accuracy.</li><li>Interpersonal skills necessary in order to communicate with a diverse group of attorneys and staff in person, by e-mail and telephone to provide information with ordinary courtesy and tact.</li><li>Analytical skills necessary in order to conduct detailed analysis on various accounting problems.</li><li>Work occasionally requires a high level of mental effort and strain when performing essential duties.</li><li>Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position.</li><li>Ability to operate standard office equipment including personal computer, copiers, calculator.</li><li>Ability to adapt to an evolving work environment and participate in testing and implementation of new processes when necessary.</li><li>Experience using Chrome River expense reimbursement / invoice software and Elite/3E accounting software preferred.</li></ul>Ideal Candidate Traits:<ul><li>Detail-oriented and deadline-driven.</li><li>Proactive problem solver with analytical &amp; critical thinking skills who thrives in a dynamic environment.</li><li>Adept at communication and improving processes through organizational skills and initiative.</li><li>Strong interpersonal skills and a collaborative mindset.</li></ul>Job Type: Full-timeBenefits: 401(k), 401(k) matching, Dental insurance, Disability insurance, Employee assistance program, Flexible spending account, Health insurance, Health savings account, Life insurance, Paid time off, Vision insuranceSchedule: Monday to Friday &amp; On callAbility to commute: Must be able to reliably commute to/from work (Required)Working Conditions:We are seeking a talented individual who can thrive in both an in-office and a remote working environment.The above is intended to describe the general content of and requirements for the performance of this job.
