<p>We are seeking a detail-oriented, organized, and dependable Administrative Assistant with strong experience in insurance billing and bookkeeping to support our daily office operations, client services, and financial administration.</p><p> </p><p>The ideal candidate is professional, reliable, accurate, and comfortable managing multiple priorities in a fast-paced environment. This position is ideal for someone who enjoys both administrative responsibilities and financial/insurance-related work and takes pride in maintaining accurate records and providing excellent client service.</p><p> </p><h2>Key Responsibilities</h2><p> </p><h3>Insurance Billing &amp; Client Services</h3><ul><li>Manage referrals, client intakes, and insurance verification.</li><li>Handle the full insurance billing cycle, from claim submission through payment.</li><li>Submit, track, and follow up on insurance claims.</li><li>Verify insurance benefits and eligibility.</li><li>Monitor claim status and follow up on unpaid or outstanding claims.</li><li>Research and resolve claim denials, rejections, and billing issues.</li><li>Correct and resubmit denied or rejected claims as needed.</li><li>Post insurance and client payments accurately.</li><li>Follow up on outstanding insurance and client balances.</li><li>Communicate with insurance companies regarding claims, benefits, and reimbursement.</li><li>Maintain accurate billing records and supporting documentation.</li><li>Help maximize timely and accurate reimbursement for services provided.</li></ul><p> </p><h3>Bookkeeping &amp; Financial Administration</h3><ul><li>Perform basic bookkeeping and financial administrative tasks.</li><li>Record and post payments accurately.</li><li>Reconcile accounts and assist with account maintenance.</li><li>Track expenses and maintain accurate financial records.</li><li>Assist with financial data entry and related administrative tasks.</li></ul><p> </p><h3>General Administrative Support</h3><ul><li>Answer and respond to phone calls, emails, and other correspondence.</li><li>Schedule appointments and maintain calendars.</li><li>Prepare documents and maintain accurate electronic and paper records.</li><li>Greet clients and provide professional, friendly, and responsive customer service.</li><li>Manage office supplies and help maintain an organized, welcoming office environment.</li><li>Assist with data entry and database management.</li><li>Maintain confidentiality of client and financial information.</li><li>Provide general administrative support to the team as needed.</li></ul><p> </p><h3>Social Media</h3><ul><li>Assist with managing and maintaining Facebook and Instagram content.</li><li>Collaborate with team members to support social media initiatives and content planning.</li></ul><p> </p><h2>Qualifications</h2><ul><li>Previous insurance billing experience is required.</li><li>Experience with insurance claims, eligibility verification, denials, rejections, and account follow-up.</li><li>Strong understanding of the insurance billing and reimbursement process.</li><li>Basic bookkeeping and accounting skills are required.</li><li>Experience with payment posting, account reconciliation, and maintaining financial records is preferred.</li><li>Previous administrative or office experience preferred.</li><li>Proficiency with Microsoft Office, particularly Microsoft Excel.</li><li>Experience with SimplePractice is preferred.</li><li>Strong attention to detail, organization, accuracy, and follow-through.</li><li>Excellent written and verbal communication skills.</li></ul>
