Position purpose
This position may be involved in both the clinical and administrative areas including assisting physicians with patient care and handling clerical, environmental, and organizational tasks. Provides information to patients so they may fully utilize and benefit from the clinical services.
Responsibilities/Duties/Functions/Tasks:<ul><li>
Fulfills patient care responsibilities as assigned that may include checking schedules and organizing patient flow; accompanying patients to exam/procedure room; assisting patients as needed with walking transfers, dressing, collecting specimens, preparing for exam, etc.; collecting patient history; checking vital signs; performing screenings per provider guidelines; assisting providers as needed; charting; phone triage; medication administration; relaying instructions to patients/families; answering calls, and providing pertinent information; prescription verifications with physicians orders.</li></ul>
<ul><li>Fulfills clerical responsibilities as assigned that may include sending/receiving patient medical records; obtaining lab/X-ray reports, hospital notes, referral information, etc.; completing forms/requisitions as needed; scheduling appointments; patient check-in and check-out; verifying insurance coverage and patient demographics; managing and updating charts to ensure that information is complete and filed appropriately.</li><li>
Fulfills organizational responsibilities as assigned including respecting/promoting patient rights; responding appropriately to emergency codes; sharing problems relating to patients and/or staff with immediate supervisor.</li><li>
Other duties as assigned.</li></ul>
Qualifications
Education: High school diploma or general equivalency diploma (GED), medical assistant diploma from an accredited vocational institution, or a college course in medical assisting.
Experience: Minimum one year of recent experience working in a medical facility as a medical assistant and/or documented evidence of externship completed in a medical office. Experience working in a Gastroenterology practice is preferred.
Requirements for Level I Status:
<ul><li>Entry level (1-4 years experience) and/or meet the basic requirements of the job with the need for additional supervision.</li><li>
Excess of 4 years experience if meeting only the basic requirements of the job with need for additional supervision.</li></ul>

Position Summary
Under the direction and supervision of the VP of Research and the Director of Research, the Research Recruitment Specialist is responsible for identifying patients who may be candidates for clinical trials. This role involves utilizing multiple software systems and data sources to track potential participants, work closely with research coordinators to ensure proper evaluation, and guiding patients through the enrollment and exclusion process. The Specialist will also maintain and report trial enrollment metrics to leadership on a regular basis. This role plays a critical part in advancing clinical research by ensuring timely and efficient patient recruitment, ultimately contributing to groundbreaking medical advancements.
Principal Duties and Essential Functions:
<ul><li>The primary responsibility of this role is to ensure that the maximum number of appropriate clinical trials candidates are identified and evaluated for trial inclusion.</li></ul>
<ul><li>Utilizes the Electronic Medical Records (EMR) as well as billing, pathology, surgery scheduling, analytics, AI software, etc. to efficiently identify potential candidates for clinical trials. This role must have familiarity and confidence to work in and learn new software systems. Works with third-party recruiting services as needed.</li></ul>
<ul><li>Conducts in-depth reviews of the study protocol to develop a strategic recruitment plan and mitigate delays before trial activation.
</li></ul><ul><li>Maintains up-to-date patient records in CTMS EMR, and other tracking systems, ensuring study staff have immediate access to accurate outreach, screening, and enrollment data.
</li></ul><ul><li>Utilizing the above tools, and any other relevant and available sources, the Recruitment Specialist will work with the Research team and the clinical practice to develop strategies and workflows to identify and contact patients who may be candidates for clinical trials. These workflows will be developed and implemented for each trial at each research location.</li></ul>
<ul><li>Regularly updates research team and leadership on recruitment and enrollment status by trial, site, and coordinator. Must be willing to develop tools to improve tracking and communication as needed.
</li></ul><ul><li>Works directly with the regulatory specialist and marketing vendor to ensure practice websites are up to date with IRB approved materials.
</li></ul><ul><li>Ensures patient safety by following each candidate until resolution: either entry into a study or exclusion. Ensures that patients who exit clinical trial evaluation have appropriate follow-up.
</li></ul><ul><li>Working with the Coordinators, the Recruitment Specialist may make initial contact with a trial candidate, discuss the general overview of the study, and assist with scheduling initial visits for evaluation, screening, consenting, etc.
</li></ul><ul><li>Receives training from study coordinators and leadership team members to develop a thorough understanding of study protocols and recruitment timelines.</li></ul>
<ul><li>Demonstrates an understanding of patient/sponsor confidentiality to protect the patient and practice. Following HIPAA guidelines, gathers patient information/records from a variety of sources.
</li></ul><ul><li>Along with the Research Coordinators, handles medical record requests and related releases of information, ensuring that all releases comply with HIPAA guidelines.</li></ul>
<ul><li>Ensures that medical records received are adequate for clinical trial entry and works closely with research coordinators to confirm that basic eligibility requirements are met.</li></ul>
<ul><li>Acts as a liaison to ensure complete and accurate communication between physicians, study coordinators, sponsors, and trial participants.
</li></ul><ul><li>Assembles information concerning a patient&rsquo;s clinical background and referral needs.</li></ul>
<ul><li>Meets regularly with research team members to identify recruitment requirements and assess the success of current strategies.</li></ul>
<ul><li>Maintains a positive attitude with the research team, the practices and clinicians, study sponsors, etc. Always maintains a professional demeanor and has a strong desire to work in a company that embraces collaboration and a team approach.</li></ul>
<ul><li>Willingness to work in a fast-paced environment where processes change and improve continually.</li></ul>

FSLA STATUS: Exempt
POSITION SUMMARY:
Experienced Medical Assistant or Research Assistant needed to contribute to Urology Austin&rsquo;s growing research department. Research Assistant (RA) roles often transition to Clinical Research Coordinator (CRC) roles and open the door to many other career opportunities within the industry. Research Assistants support the Clinical Research Team with subject recruitment, diagnostic testing, laboratory specimen collection, communications with patients, study sponsors, and investigators, and other interesting research related roles.
You will work closely with our Study Coordinators, Clinical Research Director, Principal Investigators (PI) and Sub-Investigators (Sub-Is) on various clinical research studies.
JOB RELATIONSHIPS:
<ul><li>Reports to the Director of Clinical Research, VP of Clinical Research, Market President, and all the physicians at Urology Austin

ROLE QUALIFICATIONS: (experience, education, and skills)

Develop an understanding of and demonstrate Good Clinical Practices (GCPs), learn and comply with all FDA clinical trial and IRB rules and regulations</li><li>
Must have &gt; 1 year experience as a medical assistant or research assistant.
</li><li>Urology based clinical experience preferred</li><li>
Should possess or develop proficiency in computer software use, including Microsoft Office, EMR and Practice Management systems, and study specific EDC and IVRS systems</li><li>
Effective time management and the ability to prioritize work</li><li>
Excellent communication skills and the ability to interact with all levels of management, staff, and physicians in person, virtually, and in writing</li><li>

Assists in clinic and protocol administration duties including but not limited to:<ul><li>

Obtain and maintain consent of patients prior to any study-related procedures being performed and with the highest ethical standards</li><li>
Provide instructions to patients to ensure proper protocol compliance</li><li>
Distribute study medications in compliance with protocol randomization requirements</li><li>
Learn and understand lab procedures and obtain and process study related lab specimens according to the study specific manuals (lab and procedural)</li><li>

Manage ancillary supply inventory and assist with drug accountability

Participate in site visits (site initiation visits, interim monitoring visits, close-out visits, etc.</li><li>
Assist study coordinators with necessary study close-out procedures and documentation</li><li>
