<div>GI Alliance is seeking an experienced Front Desk Coordinator II part time.
Duties of this position include, but are not limited to, the following:
Position purpose
Performs various clerical duties for office manager, or providers including: answering telephones, taking messages, scheduling appointments, copying, and creating/scanning charts. Responsible for data entry and patient account follow up, as well as monthly reports.
Responsibilities/Duties/Functions/Tasks:<ul><li>
Answer and screens high volume telephone calls in a courteous manner, and record messages for providers and other personnel.</li><li>
Schedule patient appointments and procedures according to established policies and procedures.</li><li>
Check-in patients upon arrival at the office as well as check-out upon departure.</li><li>
Obtain accurate information from patients and ensure all registration forms are complete.</li><li>
Collect patient and insurance payments and reconcile charges on a daily basis.</li><li>
Verify account balances and refunds for accuracy. Provide information to patients regarding unpaid balances.</li><li>
File records in appropriate sections of patient charts in EMR.</li><li>
Prepare patient charts in advance and scan documents into charts in EMR.</li><li>
Transcribe letters and create forms as needed.</li><li>
Maintain files and records in a confidential manner.</li><li>
Maintain organization and efficiency of front office, including office supply inventory.</li><li>
Maintain patient confidentiality.</li><li>
Perform other related duties as directed or assigned.</li></ul>
Qualifications
Education: High school diploma or GED.
Experience: Minimum of four years of experience in a medical office, front office or scheduling experience preferred.
Requirements for Level II Status:<ul><li>
Intermediate experience (4+ years experience) and/or acting more independently,</li><li>
Takes on some additional duties to assist the office.</li><li>
Strong and consistent performer.</li></ul>
Performance Requirements:<ul><li>
Knowledge of clinic policies and procedures.</li><li>
Knowledge of computer programs and applications.</li><li>
Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.</li><li>
Skill in operating office equipment</li><li>
Skill in handling paperwork/filing adequately.</li><li>
Skill in handling incoming phone calls and triaging appropriately.</li><li>
Skill in written and verbal communication.</li><li>
Ability to learn/use other computer programs including Microsoft&reg; Excel, e-mail, Internet, and Microsoft&reg; PowerPoint.</li><li>
Ability to sort and file materials correctly by alphabetic or numeric systems.</li><li>
Ability to flexibly respond to changing demands.</li><li>
Ability to organize and prioritize tasks effectively.</li></ul>

Front Desk Coordinator II PT

<div>Austin Gastroenterology is seeking an experienced Phone Operator Specialist to join our growing team in our newest location.
Duties of this position include, but are not limited to, the following:
Position purpose
Provide a full range of telephone switchboard duties, including triaging calls and relaying messages. Assists with clerical duties as required. Serves as a liaison between patients and medical staff.
Responsibilities/Duties/Functions/Tasks:

Courteously and efficiently answers all incoming calls and connects callers with the correct extension.</li><li>
Takes and relays messages in an accurate and timely manner.</li><li>
Responds to emergency and urgent calls from patients in a timely manner. Directs callers immediately to clinical staff as necessary.</li><li>
Performs operator functions including triaging calls; connecting and transferring calls; setting up conference calls; instructing users on telephone procedures; and reporting telephone and equipment malfunctions to the appropriate party.</li><li>
Provides a pleasant and helpful phone contact for callers.</li><li>
Performs clerical duties as assigned to maintain workflow in the department.</li><li>

Qualifications
Education: High School diploma or GED. Some college preferred.
Experience: Minimum six (6) months experience in a call center environment.

Phone Operator Specialist

1. Greet callers and in-office patients warmly and provide courteous service.
 
2. Understand the responsibility of serving as the first point of contact for patients at our practice.
 
3. Use sound judgement in handling calls and in-person interactions, especially when dealing with highly sensitive medical information.
 
4. Answers calls within three-four rings.
 
5. When scheduling patients and/or checking a patient in, be sure to add and update demographics and insurance information for that individual thoroughly and accurately.
 
6. Confirm, cancel, reschedule, and update patient appointments at request of patient and/or provider.
 
7. Use the EMR system to match physician/clinician availability with the patient's needs and preferences in terms of date and time.
 
8. Able to accurately schedule appointments based on clinic and practice guidelines and specifications.
 
9. Maintain and regularly update scheduling systems so patient records are accurate and complete and can be used to analyze patient/staffing needs and patterns.
 
10. Communicates as needed with providers and other staff about any patient concerns/issues. Consults with the office manager about any system problems.
 
11. Effectively communicate and complete requests from other medical offices (faxing patient medical records, or other information as requested).
 
12. Address patient concerns efficiently and effectively.
 
13. Uses customer service principles and techniques to deal with patients calmly and pleasantly.
 
14. Other clerical duties as assigned by the office manager/administrator.
 
15. Some travel required between multiple locations.

1. Self-starter with the ability to complete daily tasks with minimal supervision.
 
2. Skill in communicating effectively with patients or providers about scheduling preferences.

5. Ability to use a multi-line phone system, including transferring calls.

Education: 
High school diploma or GED (required)
 
Associates or Bachelor's Degree (preferred)
 
Experience: 
Two-three years of medical office experience.
 
Previous experience of a fast-paced, high patient volume doctors office.
