<div>As a Site Operations Director, you will oversee and act as a resource for support staff, assure efficient operation of clinic-based services, assist with the hiring of quality staff, and uphold HealthLincs policies and procedures. This position oversees all clinic personnel, works closely with the Assistant Site Operation Director and Site Medical Director, and reports to the Chief Operating Officer.
JOB RESPONSIBILITIES:<ul><li>
Supervises and coordinates various personnel actions including, but not limited to, recruiting, directing, training, competencies, performance appraisals, promotions, monitoring time and attendance, and vacation schedules to ensure the clinic operates in an efficient manner.
</li><li>Remains knowledgeable of support staffs roles and responsibilities, as well as all areas of practice in order to provide continuity of services during position vacancies.</li><li>
Reviews and recommends changes to the COO in operational procedures that promote high quality patient centered care, productivity enhancement, risk management, cost savings, employee engagement and patient satisfaction.</li><li>
Plans and oversees practice activities including monthly staff meetings and preparing agendas.</li><li>
Coordinates with Finance on billing issues, assuring encounters are closed timely and the budget process is maintained.</li><li>
Ensures all patient concerns are handled correctly by recommending and implementing corrective actions including documenting and reporting of results.</li><li>
Coordinates with the Site Medical Director regarding the scheduling of clinical staff, including after-hours call, to ensure appropriate coverage.</li><li>
Monitors and ensures that all staff possess a high-quality appearance, practice knowledge, and professionalism, assignment of mentors and actively participates in new staff onboarding process.</li><li>
Provides leadership, conflict resolution, motivation and promotes team work of subordinates in achieving agency goals and productivity thresholds.</li><li>
Maintains compliance standards in accordance with the Compliance policies, FTCA and the Code-of-Conducts and reports concerns timely and appropriately providing resolution and follow-up to the COO.</li><li>
Ensures current HL policies and procedures, manuals, OSHA, HIPAA and HL regulations are followed by every staff member.</li><li>
Ensures bank deposits are made daily.</li><li>
Participates in community outreach projects as coordinated with the COO.</li><li>
Assists with the development of the annual HealthLinc budget and the employee engagement budget.</li><li>
Ensures all assigned staff have adequate equipment, materials and supplies to complete their assigned tasks in an efficient, safe, and cost-effective manner.</li><li>
Responds quickly in crisis situations and assures all staff are knowledgeable of safety policies and procedures.</li><li>
Conducts emergency drills and assures documentation is recorded and available for inspections.</li><li>
Assures the facility is maintained in cleanliness, sanitary, safe and orderly manner; working in conjunction with the Facilities Manager to achieve HealthLincs high standards.</li><li>
May serve as a supervisor for Nurse Practitioner Residency Program (site specific).</li></ul>
<ul><li>Coordinates schedules and training for the Telehealth unit (site specific).</li></ul><ul><li>
Approves purchase orders for all departments and budgets.</li><li>
All HealthLinc staff is committed to engage in quality improvement initiatives that align with and support Patient-Centered Medical Home (PCMH).</li><li>
Performs other duties as assigned.</li></ul>
REQUIRED QUALIFICATIONS:
Education/Training<ul><li>
Bachelors degree in health care administration or related degree</li><li>
Masters Degree in Health Care (not required but highly preferred)</li></ul>
Experience<ul><li>
At least 5-10 years of progressive supervisory experience in an outpatient setting
</li></ul>Skills/Abilities/Job Requirement<ul><li>
Strong organizational and time management skills</li><li>
Proven ability to work well in a team environment</li><li>
Excellent written and verbal communication skills</li><li>
Ability to work a flexible schedule and sometimes work outside of regular business hours</li><li>
Transportation and valid drivers license</li><li>
Ability to follow HealthLinc policies and procedures</li></ul>
Technology Skills<ul><li>
Operate a multi-line phone system and other office equipment including printers, fax machines, etc.</li><li>
Basic computer skills (Microsoft Office, EHR, online sources, etc.)</li></ul>
