About You
As Operations Systems Engineer at Oner Active, you will shape how our technology stack runs as we scale to a &pound;500m global omnichannel brand.
You will own the day to day health, automation, and documentation of our core operational systems. That includes NetSuite ERP, Shopify (B2C), Teamwork Commerce (POS), eCom360 (Proprietary Middleware), 3PL and WMS integrations, and Narvar for returns.
The role is built around three principles. First, automate anything that should not need a human. Second, document everything so both people and AI agents can use it. Third, be the bridge between our operational teams and our external technical partners.
As we open our US Distribution Centre, launch US retail, and complete the NetSuite ERP implementation, you will own end to end testing of new features and integration health across the stack. Once stable, you will keep finding ways to remove friction and unlock the teams that use these tools every day.
What we are looking for<ul><li>You will be the internal subject matter expert for workflows that touch NetSuite, Shopify, Teamwork, the 3PL, or eCom360. People will come to you first when they see something is incorrect, or want to explore ways to make a process easier.</li><li>You will act as the translator between non-technical teams (Merchandising, Ops, Finance, Digital, Retail) in the UK and our external technical partners (the SUG team in Austria, CMG for NetSuite). You will write the briefs, agree the specs, and make sure both sides land on the same outcome.</li><li>You will own automation as a discipline, not as a side project. Where the same manual task happens twice, you will build something to remove it. You will use modern tooling to connect systems, route exceptions, and resolve common integration failures without human intervention.</li><li>You will use AI as a daily tool. That means drafting NetSuite Saved Searches with AI assistance, writing tech specs faster, generating test cases and synthetic data for UAT, and building small internal tools yourself rather than waiting on external developers.</li><li>You will manage end to end testing (SIT and UAT) of new features, including the US 3PL integration, Shopify POS retail rollout, and NetSuite ERP go-live.</li><li>You will build and maintain a modern knowledge base. SOPs that are queryable by AI, Loom videos for any process with a UI, and structured documentation that both operators and future AI agents can use.</li><li>You will configure systems natively where possible: Saved Searches, custom fields, UI tweaks, dashboards, workflows. Routine configuration should not need an external ticket.</li><li>You will provide data and reporting support to Finance and Merchandising. Accurate actuals, dashboards, and ad hoc analysis. AI accelerates this work but does not replace your judgement on it.</li></ul>
What you will need<ul><li>3 to 5 years in a Tech, Systems, or Internal Tools role at a high-growth e-commerce or DTC business.</li><li>Strong hands-on experience with Shopify, NetSuite ERP, POS and 3PL integrations</li><li>Experience with middleware or integration platforms. Working alongside bespoke routing tools is a major plus.</li><li>Demonstrable AI fluency. You should be able to tell us which AI tools you use day to day, what you have shipped with them, and how they have changed the way you work. Generic awareness is not enough.</li><li>Hands-on experience building automations in n8n, Make, Zapier, or equivalent. Production examples preferred.</li><li>A bias to build. You are happy to spin up a small internal tool yourself rather than wait three weeks for a developer.</li><li>Experience producing AI-queryable documentation and modern knowledge bases in Notion, Loom, or similar.</li><li>Ability to give clear and regular updates to leadership.</li><li>Confident writing technical specifications and acting as the bridge between developers and operators.</li><li>Experience supporting complex project delivery: system implementations, feature releases, and product enhancements.</li><li>Confident as an internal trainer, so operational staff can do their work without bottlenecking on you.</li></ul>
Responsibilities<ul><li>Business analysis, requirement definition, and technical scoping for new operational requests.</li><li>Defining operational process flows and mapping data flows across Shopify, eCom360, NetSuite, 3PL, and Teamwork.</li><li>Writing technical specifications and managing the brief between third party partners (SUG, CMG) and internal stakeholders.</li><li>Owning the automation roadmap. Building, maintaining, and monitoring automations that remove recurring manual work.</li><li>Designing and maintaining the AI-queryable knowledge base used by both humans and future agents.</li><li>System Integration Testing (SIT) and User Acceptance Testing (UAT) for major rollouts, including Retail POS, the US DC, and NetSuite.</li><li>Cutover and go-live management.</li><li>Post go-live hypercare and integration health monitoring. The goal is fewer manual interventions over time, not more.</li><li>Native system configuration in NetSuite, Shopify, Teamwork, and the PIM.</li><li>Internal training and onboarding so teams can operate the systems day to day.</li></ul>

The Role
The Logistics Coordinator provides operational and administrative support across the end-to-end supply chain, ensuring the accurate execution of purchase orders, inventory movements, and logistics activities. Working closely with suppliers, freight forwarders, distribution partners, and internal stakeholders, this role is responsible for maintaining accurate system data, coordinating shipments, supporting inventory visibility, and ensuring the smooth flow of information throughout the supply chain.
The Logistics Coordinator plays a key role in supporting product availability, operational efficiency, and customer service by ensuring day-to-day supply chain processes are executed accurately and on time.
You&rsquo;ll be responsible for<ul><li>Create, maintain, and update purchase orders within the ERP system.</li><li>Process purchase order amendments, cancellations, and revisions as required.</li><li>Ensure purchase order information is accurate, complete, and aligned with supplier confirmations.</li></ul><div><ul><li>Monitor purchase order status throughout the supply chain lifecycle.</li></ul></div><ul><li>Maintain accurate supply chain master data within ERP and supporting systems.</li></ul><div><ul><li>Update shipment milestones, delivery dates, inventory records, and supplier information.</li></ul></div><ul><li>Track inbound shipments from suppliers through to delivery at distribution centres.</li><li>Maintain shipment visibility and communicate updates to relevant stakeholders.</li><li>Liaise with freight forwarders and logistics providers regarding shipment status and documentation.</li></ul><div><ul><li>Escalate delays or exceptions to the Inbound Logistics Manager where appropriate.</li></ul></div><ul><li>Act as a day-to-day point of contact for suppliers regarding purchase orders, shipping documentation, and delivery schedules.</li><li>Follow up on outstanding order confirmations, shipping milestones, and required documentation.</li></ul><div><ul><li>Support supplier compliance with company logistics and documentation requirements.</li></ul></div><ul><li>Validate freight invoices against agreed rates</li><li>Raise and process Sample and Event orders</li><li>Coordinate order fulfilment requirements with PR, marketing, campaigns teams and logistics partners.</li><li>Monitor order progress and resolve any issues impacting delivery schedules.</li></ul><div><ul><li>Ensure Sample and Event orders are accurately reflected within company systems.</li></ul></div><ul><li>Support product launches by coordinating supply chain information and resolving operational issues.</li></ul><div><ul><li>Respond to ad hoc supply chain queries and provide timely operational support.</li></ul></div><div>
You&rsquo;ll Need to Have:</div><ul><li>Previous experience in a supply chain, logistics, procurement, or operations coordination role.</li><li>Experience using ERP systems and Microsoft Excel.</li><li>Strong organisational skills with excellent attention to detail.</li><li>Ability to manage multiple priorities in a fast-paced environment.</li></ul><div><ul><li>Excellent communication and stakeholder management skills.</li></ul></div>
