Position Summary:

The objectives of the role are:</div><ul><li><div>
The PMO manages the administrative and operational backbone of projects, ensuring smooth workflow, documentation, and coordination across teams.</div></li><li><div>
It supports project delivery by handling scheduling, reporting, resource tracking, and other essential operational tasks that keep projects on track.</div></li><li><div>
Manage contracts, logistics, and event coordination, ensuring smooth execution of project activities and compliance with organizational policies.</div></li><li><div>
Oversee invoicing and financial tracking while coordinating with all functional units to maintain alignment and operational efficiency.</div></li><li><div>
Serve as the central point for administrative support, connecting project teams with leadership and other departments to ensure seamless workflow</div></li></ul><h1 class="jobSectionHeader"><b>
As a Project Administrator, following would be your responsibilities:</b></h1><div><b>
Project Administration &amp; Coordination</b></div><ul><li><div>
Manage day-to-day administrative operations of assigned projects, ensuring timely execution and compliance with procedures.</div></li><li><div>
Coordinate across project teams, leadership, and functional units to facilitate smooth handovers and decision-making.</div></li><li><div>
Maintain accurate project documentation, records, and databases for easy access and reporting.</div></li></ul><div><b>
Financial &amp; Contract Management</b></div><ul><li><div>
Oversee invoicing, financial tracking, and budget monitoring for assigned projects.</div></li><li><div>
Support contract administration, ensuring agreements are processed accurately and on time.</div></li></ul><div><b>
Events &amp; Logistics</b></div><ul><li><div>
Plan and coordinate project-related events, workshops, and meetings, managing logistics and participant communication.</div></li><li><div>
Ensure all logistical requirements for project activities are anticipated and efficiently executed.</div></li></ul><div><b>
Reporting &amp; Monitoring</b></div><ul><li><div>
Prepare project dashboards, performance reports, and compliance updates for leadership and donors.</div></li><li><div>
Monitor project progress and highlight risks or issues that may impact delivery.</div></li></ul><div><b>

Key Qualifications / Experience / Skills / Behaviours:
<div><b>
Professional Qualifications / Equivalent Experience</b></div><ul><li><div>
ACCA affiliate or equivalent professional qualification, or substantial relevant experience in project administration and operations.</div></li><li><div>
Proven experience supporting multi-sector projects, ideally in donor-funded or international development contexts.</div></li></ul><div><b>
Technical Expertise</b></div><ul><li><div>
Strong proficiency in project management tools, MS Office (especially Excel), SharePoint, and reporting systems.</div></li><li><div>
Experience in contracts administration, invoicing, budgeting, and logistical coordination for projects.</div></li><li><div>
Knowledge of compliance, governance, and donor reporting requirements.</div></li></ul><div><b>
Soft Skills / Autonomy and Management</b></div><ul><li><div><ul><li><div>
Strong organizational and time-management skills with the ability to prioritize competing demands.</div></li><li><div>
Excellent communication and stakeholder management skills across diverse teams and functions.</div></li><li><div>
Ability to work independently, take initiative, and problem-solve while maintaining attention to detail.</div></li><li><div>
