Position Overview

Join our team as a Surgery Office Assistant who contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.

Hagyard Equine Medical Institute in Lexington, Kentucky, is an internationally recognized leader in equine medicine, combining cutting-edge technology with a collaborative team dedicated to advancing equine health and performance.

Key Responsibilities

The primary role and duties include, but are not limited to, the following:

TELEPHONE &amp; RECEPTION
<ul>
<li>Provide primary telephone support for the Surgery department; screening and directing emergency and non-emergency related calls appropriately throughout the department.</li>
<li>Greet and assist clients and visitors.</li>
<li>Assist clients with directions to other locations on campus.</li>
<li>Distribute departmental mail.</li>
<li>Prepare correspondence and transcribe reports.</li>
<li>Preparation of sales reports.</li>
<li>Assist with monthly billing.</li>
<li>Filing correspondence and patient files.</li>
<li>Assist with maintaining appropriate stock of departmental office supplies.</li>
<li>Assist with coordinating maintenance for departmental office equipment.</li>
<li>Maintain the appearance and cleanliness of the reception area.</li>
<li>Report any required repairs to appropriate personnel.</li>
<li>Special projects as assigned.</li>
</ul>
QUALIFICATIONS
<ul>
<li>Previous office experience required</li>
<li>Capable of multi-tasking and utilizing multi-line phone system</li>
<li>Excellent computer skills - proficient with Microsoft Office programs</li>
<li>Efficient typing skills.</li>
<li>Medical terminology and knowledge of the Equine and Thoroughbred Industries a plus.</li>
<li>Excellent Customer Service skills necessary.</li>
<li>Organizational skills</li>
<li>Effective communicator</li>
<li>Innovative, motivated, pleasant personality</li>
</ul>

Position Overview

<li>The Customer Service Representative / Receptionist contributes to the success of a high-performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital.</li>
</ul>
Key Responsibilities
<ul>
<li>Provides excellent customer service in-person, over the phone, and during high-stress situations.</li>
<li>Manages lobby flow, addresses concerns, calms distressed owners, and schedules appointments.</li>
<li>Handles basic medical emergencies for pets and owners, ensuring safety and well-being.</li>
<li>Assists with medication pickups, inquiries, and provides information about services and products.</li>
<li>Inputs and manages data in practice management software, including billing and accounts.</li>
<li>Assists with retail sales, weighing pets, processing faxes, and maintaining records.</li>
<li>Reconciles cash drawer and performs end-of-day duties for accurate financial transactions.</li>
</ul>
Qualifications (Required)
<ul>
<li>High school diploma or GED required, or equivalent combination of education, certification, training, and/or experience</li>
<li>Knowledge of clerical procedures and ability to organize files and records</li>
<li>Excellent customer service skills, providing courteous and prompt assistance</li>
<li>Accurate cash handling and cashiering abilities</li>
<li>Strong multitasking skills with attention to detail</li>
<li>Ability to work at a keyboard or workstation for extended periods and perform physical tasks such as standing, walking, climbing, and lifting animals up to 50 pounds</li>
</ul>
Preferred Skills (Nice to Have)
<ul>
<li>Some kind of Customer Service Experience would be a plus as well some animal medical experience (even if it is just small animals)</li>
<li>Big plus is you have worked for a veterinary setting and know how to use Avimark</li>
</ul>
Schedule
<ul>
<li>M/W/Th/F from 7:45am to 5:30pm and every other Saturday from 7:30am to 1:30 pm</li>
<li>Potential for Sunday and Holiday Kennel Shifts</li>
<li>Flexible with shortened hours on Wednesday and Thursday</li>
