 Scope
 
 
 
 This role undertakes all reception and clerical duties such as greeting and welcoming guests, receiving and delivering all incoming and outgoing mail and packages, answering all calls and directing as needed, scheduling meetings, and coordinating office activities. This role will be the &ldquo;face&rdquo; of the company for all visitors and will be responsible for the first impression PSA BDP make.
 
 
 
 
 
 
 Responsibilities
 
 
 <ul>
 <li>
 Greet and welcome guests.
 </li>
 <li>
 Answer questions and address complaints received.
 </li>
 <li>
 Answer all incoming calls and redirect them or keep messages.
 </li>
 <li>
 Receive letters, packages etc. and distribute them.
 </li>
 <li>
 Prepare outgoing mail by drafting correspondence, securing parcels etc.
 </li>
 <li>
 Check, sort and forward emails.
 </li>
 <li>
 Booking of meeting rooms when required.
 </li>
 <li>
 Monitor office supplies and place orders when necessary and keep updated records and files
 </li>
 <li>
 Monitor office expenses and costs
 </li>
 <li>
 Deliver all work to a high-quality standard.
 </li>
 <li>
 Ensure Office policies and procedures are implemented and applied appropriately to all (internal and external customers), including the Policies and Procedures for Continuous
 </li>
 <li>
 Practice Improvement and Corporate Policy Manuals.
 </li>
 <li>
 Meet agreed performance targets and standards.
 </li>
 <li>
 Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
 </li>
 <li>
 Undertake such other duties and special assignments as may be allocated by the Manager (travel arrangements, schedules etc.)
 </li>

 Qualifications / Experience
 
 
 <ul>
 <li>
 Bachelor Degree
 </li>
 <li>
 Proven experience as front desk +3 years at a minimum with logistics industry
 </li>
 <li>
 Proficient in English (oral and written). Able to speak Arabic or other languages is an advantage.
 </li>
 <li>
 Knowledge of office management and basic bookkeeping
 </li>
 <li>
 Emirati National Required

 Supports with the implementation and follow up of all HR administration tasks.

 Supporting Country Manager with gathering information and input required to support smart data needed for strategy execution needed for budgeting &amp; maintenance of the human capital cost (salaries, benefits &amp; services) and information to support cost saving options

 <li>
 Support Quality Manager and HR by assisting with researching, developing, writing, and updating policies, procedures, methods, and guidelines; communicating and enforcing organization values.
 </li>
 <li>
 Supports with maintaining confidentiality of employee files and exit interviews and report back to the management.
 </li>
 <li>
 To work with operational teams to establish the quality, environment and security procedures
 </li>
 <li>
 To maintain controls and documentation procedures
 </li>
 <li>
 To monitor performance by gathering relevant data and preparing reports.
 </li>
 <li>
 To prepare and lead the QHES internal and external audits.
 </li>
 <li>
 To be involved in developing the quality, environment and security goals and targets in the strategic plan.
 </li>
 <li>
 Develop, Maintain &amp; Coordinate Country Safety Plan- facilitate the development of country occupational health and safety strategies and performance targets.

 Job Requirements

 Minimum of 2 - 5 years at an administrative level either at as a generalist or HR function of expertise (compensation, talent management, learning and development)
 </li>
 <li>
 Bachelor&rsquo;s degree / diploma preferred or minimum of 3 years at a junior &ndash; level HR experience including experience
 </li>

Admin and QHSE Coordinator

 <ul>
 <li>
 Ensure that all documentation is completed neatly, professionally, accurately and error-free with all current information in proper order and within corporate standards for timelines.
 </li>
 <li>
 Close all files within four working days from action date ensuring compliance to all customer requirements, consignee letter of transmittal standard instructions, letter of credit requirements and/or order specific instructions.
 </li>
 <li>
 Complete final inspection for accuracy of all bills of lading received for closing.
 </li>
 <li>
 Ensure that documents are distributed to all necessary parties within four working days from action date.
 </li>
 <li>
 Ensure billings of all closed shipments are billed within four workdays from action.
 </li>
 <li>
 Prepare and double-check BDP invoices, ensuring that all charges are correct.
 </li>
 <li>
 Participate in cross training and learn the processes of other members of the facility so that you are able to cover their responsibilities in case of illness, vacation or during times of peak workload.
 </li>
 <li>
 Ensure you understand and adhere to all customer requirements and operating standards.
 </li>
 <li>
 Document, maintain and update work processes/procedures as they relate to each customer account.
 </li>
 <li>
 Notify team coordinator if needed information is not being provided in time.
 </li>
 <li>
 Regular communication with operations and RSC/GSC personnel on obstacles preventing timely bill and close.
 </li>

 Job Requirements
 
 
 ∙ +3 years of detailed experience of logistics and forwarding operations/regulations and documentation
 
 
 ∙ Preferable a professional degree by a licensed educational institution specialized in logistics and forwarding.
 
 
 ∙ Computer literacy with Microsoft Software applications and /or other market leading software applications.
