Job OverviewWe are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, excellent customer service, and efficient office management. The ideal candidate will possess strong technical skills, exceptional organizational abilities, and a proactive attitude to support our team and clients alike. As an Office Manager, you will be the backbone of our office operations, fostering a productive and welcoming atmosphere that promotes success and growth.Duties<ul><li>Oversee daily office functions, including managing supplies, equipment, and maintenance to ensure a well-organized workspace.</li><li>Handle multi-line phone systems with professionalism, providing exceptional customer support and client communication.</li><li>Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives using productivity software such as Microsoft Office and Google Workspace.</li><li>Maintain accurate data entry records, including filing, spreadsheets, and bookkeeping tasks to support administrative efficiency.</li><li>Supervise front desk activities, including greeting visitors, answering inquiries, and managing phone etiquette with a friendly and professional demeanor.</li><li>Utilize Excel for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.</li><li>Assist with clerical duties such as proofreading documents, word processing, and ensuring overall office productivity through effective time management.</li></ul>Qualifications<ul><li>Proven experience in office management or administrative roles with strong organizational skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and other productivity software.</li><li>Technical proficiency with computer literacy including data entry, filing systems, and general clerical experience.</li><li>Excellent communication skills both via phone (multi-line systems) and in person; bilingual abilities are a plus for diverse client interactions.</li><li>Experience with Excel or similar bookkeeping software is preferred.</li><li>Strong attention to detail with proofreading skills; ability to manage calendars effectively and prioritize tasks efficiently.</li><li>Previous experience in customer service or front desk roles such as dental or medical receptionist is advantageous.</li><li>Demonstrated ability to handle multiple responsibilities simultaneously while maintaining professionalism and positive attitude.</li></ul>Join us to be part of a vibrant team where your organizational talents will shine!
