Job Overview

Phoenix Center is seeking a highly organised and proactive Virtual Assistant to provide comprehensive administrative support to our team. This is a Full-Time, remote position based in United, Pennsylvania, United States. The successful candidate will be a self-starter, capable of managing multiple tasks efficiently while maintaining a high standard of quality. This role is crucial for ensuring the smooth operation of our daily activities and contributing to our overall success. The offered compensation is between $20.00 - $45.00 USD per hour, dependent on experience and qualifications.

Key Responsibilities

 

  • Manage and organise calendars, schedule appointments, and coordinate internal and external meetings.
  • Handle email correspondence, screen incoming messages, and ensure timely responses.
  • Prepare and format reports, presentations, and other professional documents.
  • Conduct online research to gather information as requested by the team.
  • Perform data entry, maintain databases, and ensure the accuracy of company records.
  • Provide excellent customer service support to clients via email and telephone.
  • Assist with basic bookkeeping tasks and expense tracking.
  • Handle confidential information with the utmost discretion and professionalism.
  • Perform other administrative duties as required to support the team.

Qualifications and Skills

 

  • Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Exceptional organisational and time-management skills with the ability to prioritise tasks effectively.
  • Strong written and verbal communication skills with a high level of attention to detail.
  • Ability to work independently with minimal supervision and demonstrate a proactive approach to problem-solving.
  • Tech-savvy with the ability to quickly learn and adapt to new software and digital tools.
  • A commitment to maintaining confidentiality and exercising discretion.
