Job Overview:

ABC is hiring a Vendor Contracts &amp; Facilities Manager to own the full lifecycle of key vendor relationships&mdash;contracting, pricing/rate negotiations, invoice review, spend auditing, supplier performance management, and ongoing account management. This role will also support facilities management needs across HQ and remote offices, ensuring sites are safe, efficient, and vendor-supported.

Key Responsibilities:

Vendor contract management &amp; commercial oversight
<ul>
<li>Own and administer vendor contracts, and develop vendor scorecards</li>
<li>Benchmark pricing and negotiate rates/terms to ensure ABC receives competitive value.</li>
<li>Maintain a contract calendar and prevent auto-renew surprises.</li>
<li>Partner with Legal/Finance to ensure contracts meet risk, compliance, and budget requirements.</li>
<li>Serve as the primary relationship owner for external account managers.</li>
<li>Build internal partnerships with office leadership, IT, HR, and Operations to align vendor services to needs.</li></ul> 


Invoicing, auditing &amp; spend control
<ul>
<li>Review vendor invoices for accuracy</li>
<li>Lead periodic audits of suppliers as needed</li>
<li>Track savings, avoided costs, and contract performance metrics; report regularly to leadership.</li>
</ul>
Facilities management (HQ + remote offices)
<ul>
<li>Coordinate facilities-related vendors (janitorial, repairs/maintenance, security, mailroom, waste, etc.).</li>
<li>Support remote offices with vendor sourcing, service scheduling, and issue resolution.</li>
<li>Own basic facilities workflows: work orders, preventative maintenance scheduling, access/badging coordination</li>
</ul>
Skills and Qualifications:
<ul>
<li>3+ years of experience in vendor management, operations, facilities, procurement, or a related role.</li>
<li>Experience managing vendor relationships and reviewing contracts or service agreements.</li>
<li>Strong attention to detail, especially related to invoices, documentation, and timelines.</li>
<li>Ability to communicate clearly with vendors and internal stakeholders.</li>
<li>Strong organizational skills and ability to manage multiple priorities.</li></ul>

Vendor Manager

Job Overview:

The Fulfillment Specialist works to process work going to and from courts, including resolving any issues that arise internally or externally. This role coordinates with process servers in the Phoenix, AZ area. This is a great opportunity if you have an interest in the legal field, are building a career in administration and love to work independently. Ideal candidate will have some experience in office administration. This position is full-time, on-site in Phoenix.

Key Responsibilities:

<li>Prepare, review and print documents going to and from court</li>
<li>Prepare, revise and print documents returning from process servers</li>
<li>Coordinate with process servers to deliver legal documents to the Oklahoma office</li>
<li>Store and pull warrants to go to court</li>
<li>Confirm documents are scanned and filed</li>
<li>Prepare documents for court filing</li>
<li>Process incoming mail</li>
<li>Resolve issues with filings</li>
<li>Perform other job-related duties as assigned</li>
</ul>
Qualifications:
<ul>
<li>High School Diploma or GED and minimum 1 year relevant experience required</li>
<li>Experience in a related field (office administration, paralegal) preferred</li>
<li>Ability to produce high-volume results and meet daily goals</li>
<li>Excellent interpersonal skills with ability to effectively communicate with peers</li>
<li>Ability to work independently and manage own schedule</li>
<li>Openness to learning new things and responding positively to feedback</li>
<li>Basic computer skills, including experience with Microsoft Office a plus</li>
