(Contracting)Job PurposeTo manage the full vendor (suppliers) accounting cycle in Odoo, ensuring accurate posting of supplier invoices, proper project/analytic allocation, timely payments, reconciliations, and reliable AP reporting in accordance with company policies and applicable tax requirements.Key Responsibilities (Vendor File + Odoo)1) Vendor Master Data Management<ul><li>Create and maintain vendor records in Odoo (legal name, registration details, VAT/tax info, bank details, payment terms, currency).</li><li>Ensure vendor documentation is complete and properly archived (contracts, quotations, bank letters, certificates, approvals).</li><li>Coordinate with Procurement to validate vendor eligibility, classification, and performance notes.</li></ul>2) Procure-to-Pay (P2P) Processing<ul><li>Review Purchase Orders, contracts, and supporting documents before invoice entry.</li><li>Record supplier invoices in Odoo and correctly link them to PO / Receipt (if applicable).</li><li>Validate quantities, unit prices, discounts, VAT/tax, and posting accounts.</li><li>Allocate costs to the correct Project / Analytic Account / Cost Center as per internal rules.</li><li>Process debit/credit notes and resolve invoice discrepancies.</li></ul>3) Payments &amp; Settlements<ul><li>Prepare vendor payment schedules based on due dates and approved invoices.</li><li>Create and record vendor payments in Odoo (subject to approvals and authorization limits).</li><li>Track and settle vendor advances/prepayments and ensure proper clearing.</li><li>Follow up with vendors on outstanding items and payment confirmations.</li></ul>4) Reconciliation &amp; Controls<ul><li>Perform bank and vendor reconciliations in Odoo and maintain clean AP ledgers.</li><li>Monitor AP Aging, overdue invoices, and blocked/unapproved invoices; follow up to close gaps.</li><li>Support monthly closing: accruals (if required), AP confirmations, and reconciliation reviews.</li><li>Ensure compliance with approval workflows and segregation of duties.</li></ul>5) Reporting &amp; Coordination<ul><li>Produce periodic AP reports: vendor balances, AP aging, unpaid invoices, payments made, cash forecast related to vendors.</li><li>Coordinate closely with Procurement, Projects/Site Teams, Stores/Receiving, and Finance to ensure documentation completeness and correct postings.</li></ul>Authorities (As per Company Policy)<ul><li>Create/update vendor records within assigned role permissions.</li><li>Enter and validate vendor invoices in Odoo.</li><li>Prepare payment requests/batches (payments released only after required approvals).</li></ul>Qualifications &amp; Experience<ul><li>Diploma/Bachelor&rsquo;s degree in Accounting, Finance, or related field.</li><li>2&ndash;5 years experience in Accounts Payable; contracting/construction experience is preferred.</li><li>Practical experience with Odoo Accounting + Purchase (strong advantage).</li><li>Knowledge of VAT/tax requirements relevant to Oman transactions (as applicable).</li></ul>Required Skills<ul><li>High attention to detail and strong document checking (PO, GRN/receipts, contracts, invoices).</li><li>Strong follow-up skills and ability to manage multiple vendors/projects simultaneously.</li><li>Good Excel skills and ability to generate reports from Odoo.</li><li>Professional communication with vendors and internal stakeholders.</li><li>Ability to work under deadlines (payment runs, month-end close).</li></ul>Key Performance Indicators (KPIs)<ul><li>Accuracy rate of posted vendor invoices (low error/return rate).</li><li>Average cycle time from invoice receipt to posting and approval.</li><li>On-time payment performance vs due dates and approved schedules.</li><li>AP Aging accuracy and timely reconciliation completion.</li><li>Month-end closing compliance (AP reconciled and supported on time).</li></ul>Job Type: Full-timePay: RO250.000 - RO350.000 per monthApplication Question(s):<ul><li>How many years worked on Odoo ERP system?</li></ul>
