 Role Overview
 
 
 
 We are hiring a
 
 QBO Onboarding &amp; Cleanup Specialist
 
 to lead the accounting side of client onboarding, with a strong focus on
 
 QuickBooks Online setup, diagnostics, cleanup, and GAAP alignment
 
 .
 
 
 You will take over new or messy QBO files, diagnose issues, rebuild or validate balances, and bring the books to ACE CPAs&rsquo;
 
 GAAP and reporting standards
 
 before transitioning clients into steady-state monthly accounting.
 
 
 This is a
 
 hands-on, problem-solving role
 
 for someone comfortable working independently and resolving complex accounting issues inside QuickBooks Online.
 
 
 
 
 
 
 
 What You&rsquo;ll Be Doing
 
 
 
 
 
 
 
 
 QBO Onboarding &amp; Diagnostic Review
 
 
 <ul>
 <li>
 Take ownership of new client
 
 QuickBooks Online
 
 files during onboarding
 </li>
 <li>
 Review trial balances, GL detail, and historical financials
 </li>
 <li>
 Identify errors, unsupported balances, and inconsistencies
 </li>
 <li>
 Reverse-engineer balances when records are incomplete or poorly maintained
 </li>
 </ul>
 
 
 
 
 
 GAAP Cleanup &amp; Balance Sheet Rebuild
 
 
 <ul>
 <li>
 Prepare GAAP-level cleanup entries (accruals, deferrals, reclasses, corrections)
 </li>
 <li>
 Rebuild and validate key balance sheet schedules:
 </li>
 <li>
 Cash and bank reconciliations
 </li>
 <li>
 AR/AP tie-outs
 </li>
 <li>
 Accruals and prepaids
 </li>
 <li>
 Payroll liabilities
 </li>
 <li>
 Fixed assets and depreciation
 </li>
 <li>
 Loans, equity, and intercompany balances
 </li>
 <li>
 Ensure all balances are fully supported and audit-ready
 </li>

 QBO Setup, Optimization &amp; Handover
 
 
 <ul>

 Review and standardize the
 
 QuickBooks Online chart of accounts, mappings, and workflows
 
 </li>
 <li>
 Clean up and restructure GL accounts where needed
 </li>
 <li>
 Align client files with ACE CPAs&rsquo; internal templates and documentation standards
 </li>
 <li>
 Identify process gaps before monthly close begins
 </li>
 <li>
 Prepare clear onboarding summaries (issues found, adjustments made, open risks)
 </li>
 <li>
 Ensure a clean handoff to the ongoing accounting team
 </li>

 AceCPAs is a U.S. accounting and advisory firm currently serving 60+ clients. We're building toward 500. We don't need a marketing strategist who's going to spend three months building a "brand framework." We need a builder who can set up AI-powered outbound systems that put qualified prospects on our calendar &mdash; starting month one.

 Software and SaaS companies &mdash; especially the wave of AI-native startups launching right now. Hundreds of new AI SaaS companies are spinning up every month, and they all need accounting, bookkeeping, tax, and CFO services. We want to be the firm that reaches them first.

 What "Day One" Looks Like
 
 Week 1 &mdash; Audit the ICP (SaaS founders, AI startup CEOs, software company CFOs/COOs doing $500K&ndash;$25M in revenue), set up domains, warm mailboxes, and start building lead lists using Apify and enrichment tools. Scrape Product Hunt launches, Y Combinator directories, Crunchbase funding rounds, LinkedIn filters &mdash; wherever new SaaS companies are announcing themselves.
 
 
 
 
 
 Week 2&ndash;3 &mdash; Launch the first outbound sequences in Instantly. AI-personalized emails referencing the prospect's product, funding stage, and growth pain points. Parallel SMS/voicemail touches through GoHighLevel. Cold call lists loaded into PhoneBurner.
 
 
 
 
 
 Week 4+ &mdash; System is live and producing. Optimizing reply rates, testing new messaging angles, scaling to adjacent segments (fintech, dev tools, vertical SaaS), and feeding qualified leads into the pipeline daily. Discovery calls are getting booked.
 
 
 What You've Already Done (Or You Wouldn't Be Reading This)

 Built AI-powered outbound systems using Claude Code, Codex, Cursor, Lovable, or similar tools &mdash; not just "used AI to write emails" but actually engineered automated pipelines
 </li>
 <li>
 Run cold email at scale: domain infrastructure, warmup, inbox rotation, deliverability, SPF/DKIM/DMARC &mdash; you know why emails land in spam and how to prevent it
 </li>
 <li>
 Used Apify, Clay, Phantombuster, or custom scripts to scrape and enrich targeted lead lists with verified contact data
 </li>
 <li>
 Built multi-channel sequences (email + SMS + voicemail + LinkedIn) that actually produced booked meetings &mdash; and you can show the numbers
