Overview We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This paid position offers an exciting opportunity to lead administrative functions while contributing to a positive and productive workplace culture.Responsibilities<ul><li>Manage front desk operations, including greeting visitors, handling inquiries, and directing calls with professionalism and courtesy</li><li>Operate multi-line phone systems, answer incoming calls promptly, and route messages accurately</li><li>Oversee calendar management for meetings, appointments, and office events to ensure optimal scheduling</li><li>Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using digital tools like Google Workspace and Microsoft Office</li><li>Handle clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory</li><li>Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices</li><li>Provide exceptional customer service by assisting clients, vendors, and team members with their needs in a friendly and efficient manner</li></ul>Skills<ul><li>Proven experience in office management or administrative roles with strong organizational skills</li><li>Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications</li><li>Excellent phone etiquette with experience managing multi-line phone systems and providing customer support</li><li>Bilingual abilities are highly valued to effectively communicate with diverse populations</li><li>Strong typing skills with attention to detail for data entry, proofreading, and document preparation</li><li>Familiarity with clerical procedures such as filing, record keeping, and calendar management</li><li>Knowledge of medical or dental receptionist duties is a plus but not required; experience in personal assistant or medical receptionist roles is beneficial</li><li>Ability to multitask efficiently while maintaining high levels of accuracy and professionalism</li><li>Effective time management skills to prioritize tasks in a fast-paced environment</li></ul>Join us as an Office Manager if you&rsquo;re eager to bring energy, organization, and exceptional service to our team.
