 Job purpose:
 
 
 <ul>
 <li>
 Project Coordinator will be responsible for coordinating and managing all applicable and delegated.
 </li>
 <li>
 Administrative activities and tasks on site, including but not limited to the office infrastructure, office equipment.
 </li>
 <li>
 Assistance to site personnel, cleaning services coordination, interfacing with third party labor suppliers and site purchasing, and maintaining financial records and files.
 </li>
 <li>
 Will collect, analyze, and process all time sheets, and obtain required daily documentation/confirmation of work performed.
 </li>
 <li>
 Will collaborate with the Outage Manager and site personnel to assure all work hours are complied.
 </li>
 </ul>
 
 
 
 
 
 Key Accountabilities :
 
 
 
 &squf; Provide staff administrative support to the site management team (GM Service, OM&rsquo;s and FSE&rsquo;s)
 
 
 &squf; End user on site &ndash; requirements from outage manger, create PR, approval for PR, technical
 
 
 evaluation. Upon delivery and completion of the order, process all the necessary GR&rsquo;s or SES&rsquo;s.
 
 
 &squf; Coordinate and issue gate pass and PPE.
 
 
 &squf; Coordinator for personnel, time sheets, ensuring/addressing HR/IT queries. Hotel/Transport, meals.
 
 
 &squf; Subcontracts Coordinator-dealing with all subcontracts, time sheets, HSE/PPE compliance. Gate
 
 
 Passes and PPE.
 
 
 &squf; Addressing emergency requirements via petty cash for local procurement, tools/consumables.
 
 
 &squf; Administration &ndash; ensuring all the protocol sheets are completed and recorded in the system to be
 
 
 used in outage report, ensure all lifting plans approved by the person and present on site.
 
 
 &squf; Ensure all method statements and risk assessments, relevant to daily task are distributed.
 
 
 &squf; Any drawings or technical specifications recovered from archive distributed to the team.
 
 
 &squf; Documentation or new raised on site, communicated with IMS to be recorded and available for
 
 
 the future.
 
 
 &squf; Communication with plant, submitting daily progress report to plants. Keeping archive for all
 
 
 outage reports
 
 
 &squf; Addressing any concerns, acts as record keeper between outage manager and a plant if any
 
 
 out-of-scope work are requested. Ensure all procedures are followed to ensure commercial
 
 
 involved.
 
 
 &squf; General support to outage manger in admin support, to allow outage manager to be able to
 
 
 spend more time on site
 
 
 &squf; Site office services, i.e. WIFI, printer, stationary, basics
 
 
 &squf; Each outage should have one/Dubai workshop
 
 
 &squf; Final check for ensuring in country state durations is adhered, request flights and transfers

 Minimum Qualifications:
 
 
 
 &squf; Bachelor&rsquo;s degree in engineering
 
 
 
 
 
 
 Minimum Experience
 
 :
 
 
 &squf; 2 years&rsquo; experience in a similar role
 
 
 
 
 
 
 Skills:
 
 
 
 &squf; Strong communication skills.
 
 
 &squf; Ability to plan and organize effectively.

 Receives and inspects all incoming materials and reconciles with purchase orders; processes and distributes documentation with purchase orders; reports, documents and tracks damages and discrepancies on orders received.

 Post daily incoming and outgoing plant stock.
 </li>

 Reports cancelled and damaged items to the purchase department as appropriate
 </li>
 <li>
 Handles and documents storage and transportation of hazardous materials.
 </li>

 Identification, segregation and preservation of materials stored
 </li>
 <li>
 Maintains the warehouse, records area and stores area in a neat and orderly manner.
 </li>
 <li>
 Segregation of waste for proper disposal
 </li>
 <li>
 Inform relevant personnel about the arrival of material and to arrange for inspection
 </li>

 Answers questions regarding procedures and resolves discrepancies regarding receipts, deliveries, warranties, repairs and surplus property.

 Arrange to return non-conforming materials

 Issue material as per the requirements and maintain records

 Procurement Lead
 
 will execute the procurement process for the assigned materials/services in respective corporate departments to ensure that procurement requirements are met in line with ACWA Operations Procedure, whilst ensuring internal customer requirements are met in the most timely and cost-efficient manner.
 
 
 
 
 
 
 Procurement Cycle and Services:
 
 
 <ul>
 <li>
 Collate the required information from the corporate departments and finalize the specifications and requirements for the preparation of RFQ&rsquo;s to be provided to the potential list of suppliers.
 </li>
 <li>
 Coordinate the procurement cycle for assigned materials and services under the supervision of the procurement supervisor to ensure the procurement needs are met in a timely and cost-optimized manner.
 </li>
 <li>
 Administer terms of purchase in conjunction with relevant stakeholders and legal to ensure all the procured materials and/or services are delivered as per the purchase order (PO) to take any corrective measures in case of noted deviations and ensure that ACWA Operation&rsquo;s interests are always protected.
 </li>
 </ul>
 
 
 Supplier Selection and Tender Process:
 
 
 <ul>
 <li>
 Provide input based on the analysis of quotations, comparison statements (with emphasis on price, quality, delivery period, terms of payment, etc.), market knowledge and previous contractor evaluations to the Procurement Supervisor for discussion in the tender committee around suitable suppliers.
 </li>
 <li>
 Conduct negotiations of quotations with the vendors to ensure that ACWA Operations gets the best value for the money they are paying to the vendors.
 </li>
 <li>
 Coordinate internal tender committee meetings for assigned purchase orders to enable the approval or modifications of requests for the preparation of purchase orders.
 </li>
 </ul>
 
 
 Purchase Order Management:
 
 
 <ul>
 <li>
 Enter the information into the system for the generation of a purchase order, and obtain proper approvals, so that the PO can be generated in a timely manner.
 </li>
 <li>
 Ensure timely order acceptance from the vendors.
 </li>
 <li>
 Implement and coordinate relevant invoice processing activities in liaison with finance, to ensure vendors receive their payments as per the contract terms.
 </li>
 </ul>
 
 
 Supplier Management:
 
 
 <ul>
 <li>
 Analyze vendor performance based on the inputs of internal customers and achievement of the contract obligations to identify the most suitable vendors for any potential work involvement with the Group in the future.
 </li>
 <li>
 Provide the support for periodic vendor performance evaluation.
 </li>
 </ul>
 
 
 Supplier Database:
 
 
 <ul>
 <li>
 Support the process of identifying new suppliers to expand the company&rsquo;s preferred supplier database by conducting market research and updating supplier background and credentials, to ensure the Group&rsquo;s supplier database is timely and comprehensively updated with background information.
 </li>
 <li>
 Keep abreast of market information about suppliers, dealers, Original Equipment Manufacturers (OEM&rsquo;s) etc. to develop a good network of suppliers that can be contacted for critical requirements.
 </li>
