The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced setting.Responsibilities<ul><li>Manage complex calendars, schedule appointments, and coordinate meetings for executives with precision and professionalism</li><li>Handle multi-line phone systems with courteous phone etiquette, directing calls and taking detailed messages as needed</li><li>Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity</li><li>Maintain organized filing systems&mdash;both physical and digital&mdash;using tools like Google Workspace and Microsoft Office Suite</li><li>Assist with data entry, bookkeeping using QuickBooks, and basic office management tasks to support daily operations</li><li>Greet visitors at the front desk warmly while managing front desk duties efficiently</li><li>Provide exceptional customer service by supporting clients, vendors, and internal teams with professionalism and responsiveness</li></ul>Skills<ul><li>Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications</li><li>Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently</li><li>Bilingual abilities are highly valued to assist diverse clients and team members</li><li>Demonstrated experience in office management, clerical work, or administrative support roles</li><li>Knowledge of multi-line phone systems, phone etiquette, and front desk procedures</li><li>Experience with bookkeeping software such as QuickBooks or similar tools for basic financial tasks</li><li>Exceptional attention to detail for proofreading documents and data entry accuracy</li><li>Proven ability to handle confidential information discreetly while maintaining professionalism</li><li>Strong typing skills combined with excellent organizational abilities for efficient workflow management</li><li>Personal assistant experience or medical/dental receptionist background is a plus for understanding specialized client needs</li></ul>Join us in a role where your proactive attitude and meticulous approach will make a real difference!
