Job Purpose: The Facilities Manager is a hybrid operations and regulatory readiness role for the Ambulatory Surgery Center. The position supports uninterrupted clinical operations through supply chain management, inventory controls, vendor coordination, and product recall management, while also maintaining Environment of Care, life safety, emergency preparedness, and regulatory documentation programs. The role promotes patient safety, staff safety, survey readiness, and efficient use of resources across the ASC.<h1 class="jobSectionHeader">
DUTIES INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:</h1>
Materials Management:<ul><li>
Manage procurement, receiving, storage, distribution, and inventory control of medical and surgical supplies, implants, equipment, and office supplies.</li><li>
Maintain appropriate par levels to support daily OR/procedure operations, anesthesia needs, sterile processing, and clinical departments.</li><li>
Perform routine inventory audits, cycle counts, and expiration date checks; address variances and stock rotation needs promptly.</li><li>
Coordinate ordering activities with approved vendors, GPO contracts, purchasing systems, and leadership budget expectations.</li><li>
Receive and inspect supplies, verify packing slips, resolve discrepancies, and coordinate returns or credits when needed.</li><li>
Maintain supply rooms in a clean, organized, labeled, and survey-ready condition, including proper storage conditions for sterile and temperature-sensitive products.</li><li>
Coordinate product recalls, backorders, substitutions, and clinical communication regarding supply availability.</li><li>
Coordinate Biomedical equipment repairs and requests, equipment onboarding, asset tracking, and vendor service coordination.</li><li>Coordinate instrument and equipment repairs and requests, onboarding, asset tracking, and vendor service coordination.</li><li>
Identify waste reduction, product standardization, and cost-savings opportunities in partnership with clinical leadership.</li></ul>
Environment of Care:<ul><li>
Coordinate the ASC Environment of Care program, including routine rounds, safety inspections, deficiency tracking, and corrective action follow-up. Daily, weekly, monthly and annual basis as needed.</li><li>
Maintain inspection logs, safety committee documentation, maintenance records, vendor reports, and regulatory binders.</li><li>
Identify, report, and help resolve facility concerns related to physical environment, utilities, medical gas, hazardous materials, security, and general safety.</li><li>
Partner with infection prevention leadership to support safe storage, cleaning, waste handling, and environmental safety practices.</li><li>
Participate in quality, risk, and safety meetings as requested and provide updates on open items and compliance readiness.</li></ul>
Life Safety Officer:<ul><li>
Serve as the designated Life Safety Officer for the ASC and coordinate life safety compliance activities.</li><li>
Maintain awareness of applicable life safety expectations, including fire safety, emergency power, evacuation routes, fire extinguishers, alarm systems, sprinkler systems, exits, and egress pathways.</li><li>
Coordinate fire drills, evacuation drills, life safety inspections, and required documentation.</li><li>
Track inspection, testing, and maintenance schedules for fire alarm systems, extinguishers, emergency lighting, generators, sprinklers, medical gas, and related systems.</li><li>
Work with vendors and contractors to coordinate inspections and remediate life safety findings and maintain documentation of corrective actions.</li><li>
Implement and document Interim Life Safety Measures when applicable and as directed by leadership.</li></ul>
Emergency Preparedness:<ul><li>
Support maintenance of the Emergency Operations Plan and emergency preparedness documentation.</li><li>
Assist with hazard assessments, emergency drills, exercises and documentation.</li><li>
Maintain emergency supplies, flashlights, equipment, spill kits, materials, and other readiness resources as assigned.</li><li>
Educate or coordinate staff education related to emergency codes, fire response, evacuation routes, and disaster procedures.</li><li>
Participate in incident command activities during actual emergencies or drills as assigned.</li></ul>
Regulatory &amp; Survey Readiness:<ul><li>
Maintain survey-ready documentation for materials management, Environment of Care, life safety, emergency preparedness, equipment maintenance, and vendor reports.</li><li>
Support readiness for AAAHC, CMS, OSHA, state, local, and accreditation surveys as applicable to the ASC.</li><li>
Prepare status updates for leadership, safety committees, governing board reporting, and performance improvement activities.</li><li>
Follow up on deficiencies, create action logs, and escalate unresolved items to leadership in a timely manner.</li></ul>
Requirements:

SPECIFIC KNOWLEDGE, SKILLS, LICENSES, CERTIFICATIONS, ETC.:<ul><li>Bachelor's degree is preferred. In lieu of a degree, 10 or more years of relevant experience may suffice.</li><li>Knowledge of healthcare accreditation and regulatory requirements.</li><li>Strong attention to detail and follow-thru, budgeting, project management, and communication skills.</li><li>Must be highly motivated and able to work independently.</li><li>Experience in multiple crafts preferred (surgical tech/rad tech/electrical/plumbing, etc.)</li></ul>
WORKING CONDITIONS:
Environmental Conditions: Medical Office, mechanical rooms and ambulatory surgery center
Physical Conditions:<ul><li>Must be able to work as scheduled &ndash; typically from 6AM-4PM M-F, on Call, possible weekends, possible early AM or Nights based on urgent business needs</li><li>Must be able to sit and/or stand for prolonged periods of time</li><li>Must be able to bend, stoop and stretch</li><li>Must be able to lift and move objects up to 75 pounds consistently with heavier weight necessary at times</li><li>Requires eye-hand coordination and manual dexterity sufficient to operate office equipment, etc.</li></ul>

Job purpose
The front desk associate is the initial contact person for patients when they enter the medical office. The front desk associate greets patients, schedules appointments, collects co-payments, inputs data into the computer and helps run, organize and maintain the front desk. This position requires excellent customer service skills, a background as a medical assistant, as well as the ability to multitask and stay organized. Please note, travel to additional APC locations may be required, and mileage reimbursement will be provided.
Duties and responsibilities<ul><li>
Greets, welcomes and directs incoming patients and visitors to the proper areas</li><li>
Keeps the flow of patients moving smoothly and maintains a neat work area</li><li>
Answers the phone professionally and politely, using proper phone etiquette</li><li>
Collects and verifies patient demographic and insurance information</li><li>
Facilitates patient flow and notifies clinical staff members of patients&rsquo; arrivals</li><li>
Communicates with current and prospective patients, visitors and clinical staff by responding to inquiries in a courteous manner</li><li>
Protects patient confidentiality by securing protected health information and complying with HIPAA guidelines</li><li>
Schedules patients for appointments and informs patients of costs of care being provided.</li><li>
Collects and posts fees according to protocols, prepares and balances daily batches for Billing Department.</li><li>
Maintains forms and office supplies required for front desk activities.</li><li>
Assures the readiness of the front desk area for each working day</li><li>
Uses computer to accurately input all information provided by the patient</li><li>
Demonstrates a responsible attitude and the ability to establish and maintain a cooperative relationship with co-workers.</li><li>
Has regular and predictable attendance</li><li>

Requirements:

Qualifications
Education: Requires a high school diploma or GED
Experience: Previous office administration work experience. Medical Assistant experience required. Knowledge of medical terminology and basic computer skills preferred.
