Position Summary
The Executive Coordinator provides essential administrative and operational support to the C-suite, the VP of Administration, and Human Resources.
This role focuses on the consistent execution of critical corporate tasks, ranging from high-level meeting coordination to the management of shareholder communications, insurance programs, vendor liaison, company events and special projects.
Essential Functions<ul><li>
High-Level Administrative and Executive Support: Arranges group meetings for C-Suite and manages non-routine correspondence, including assembling highly confidential and sensitive information.</li><li>
Reporting and Shareholder Relations: Produces shareholder reports, prepares correspondence for shareholder communications, and executes shareholder transactions.</li><li>
Data and Records Management: Performs a variety of data management functions, including paper and electronic records management, setting up and managing spreadsheets and databases, compiling information, and analyzing results.</li><li>
Communication and Presentation Support: Prepares presentation materials.</li><li>
Event &amp; Engagement Coordination: Plan and execute company events and employee engagement activities such as service awards, new hire lunches, and wellness or training events.</li><li>
Project Evaluation and Initiation: Determines the feasibility of new programs and projects and assists in their start-up.</li><li>
Process Improvement and Research: Conducts critical studies to increase corporate efficiencies.</li><li>
External Vendor Liaison: Serves as the primary point of contact for external vendors, including those for insurance, office equipment, and vending solutions.</li><li>
Auditing and Compliance: Assists with various internal and external audits.</li><li>
HR Program Administration: Support HR operations by organizing employee notices, benefits mailings, and maintaining compliance postings.</li></ul>

Ability to communicate effectively, in writing and verbally, at all levels within the organization.</li><li>

Superior computer skills, including but not limited to, MS Office Suite (Word, Excel, PowerPoint) and Google Suite (Documents, Sheets, Slides)</li><li>
Exceptional organizational skills in order to meet daily, weekly, monthly and annual deadlines</li><li>
Self-directed, self-starter</li><li>
Ability to work as an individual contributor and team player</li></ul>
Minimum Qualifications<ul><li>
Associate's degree (AA) in business administration, or similar field, from an accredited college or university, preferred</li><li>
Five to ten years related experience and/or training;</li><li>
Equivalent combination of education and experience may be considered</li></ul>
Working Conditions / Physical Requirements<ul><li>
Primarily office with limited flexibility to work remote (on occasion)</li><li>
May be required to sit for extended periods of time</li><li>
The employee may occasionally be required to lift and/or move up to 25 pounds.</li></ul>
