Administrative AssistantWe are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Administrative Assistant typically provide direct assistance to one or more senior leaders, assisting with daily office needs and managing our company&rsquo;s general administrative activities.Essential Duties &amp; Responsibilities:<ul><li>Provides administrative support to ensure efficient office operations.</li><li>Manage phone calls and messages according to each executive&rsquo;s preference.</li><li>Manage the Outlook calendar, which involves frequent adjustments and updates throughout the day, scheduling and confirming all internal and external meetings and conference calls.</li><li>Provide a day-before view of the calendar within Outlook and the CRM system in order to allow executives to be well prepared for the next day&rsquo;s requirements and deliverables; this daily view must have all meeting locations, contact numbers, and any other relevant details. Ensure executives are on time for meetings.</li><li>Organize and schedule appointments</li><li>Plan meetings and take detailed minutes and meeting summaries.</li><li>Write and distribute email, correspondence memos, letters, faxes, and forms.</li><li>Assist in the preparation of regularly scheduled reports and provide sales support.</li><li>Ensures that deadlines are met and adapts to changing priorities.</li></ul>Requirements and skills<ul><li>Proven experience as an administrative assistant</li><li>Knowledge of office management systems and procedures</li><li>Working knowledge of office equipment, like printers and fax machines</li><li>Excellent time management skills and the ability to prioritize work</li><li>Attention to detail and problem-solving skills</li><li>High school degree; additional qualifications as an administrative assistant or secretary will be a plus.</li><li>Familiarity with or interest in manufacturing</li><li>Exceptional organizational skills, follow-through, and attention to detail.</li><li>Solid experience and comfort level with Outlook, CRM, Word, Excel, PowerPoint, and Keynote software.</li><li>Strong written and verbal communication skills, including professional phone manners.</li><li>Speaks Mandarin is a plus</li></ul>Education/Experience:<ul><li>High school diploma or GED is required.</li><li>3+ years of experience are required.</li><li>Experience working with executives is required.</li></ul>Job Type: Full-timePay: $20.00 - $25.00 per hourBenefits:<ul><li>Health insurance</li></ul>Work Location: In person
