 Job Summary:
 
 
 
 The Technical Office Manager plays a critical role in bridging the gap between the client, design, fabrication and installation teams. Oversees the daily technical and administrative operations of our marble business, ensuring projects move smoothly from initial estimation, material selection, shop-drawings drafting to fabrication and final installation. Should combine strong office management skills with a deep understanding of natural stone production processes, CAD drawing, project management, along with very good communication skills to manage the stakeholders. (Client, Production, installation &amp; Admin)
 
 
 
 
 
 
 Key Responsibilities:
 
 
 
 
 Technical Leadership &amp; Coordination:
 
 
 <ul>
 <li>
 Manage the Drafting/Estimating Team: Oversee the team responsible for creating Shop Drawings, CAD designs, and technical specifications for marble cutting and CNC machining.
 </li>
 <li>
 Project Management: Track project timelines from initial field templating to final site installation, ensuring all departments stay on schedule.
 </li>
 <li>
 Quality Assurance: Review technical drawings and specifications against client requirements to ensure accuracy before slabs are sent to the fabrication floor.
 </li>
 <li>
 Technical Problem Solving: Act as the main point of contact for resolving technical discrepancies between architects, designers, installation teams, and the fabrication shop.
 </li>
 </ul>
 
 
 
 
 
 Inventory &amp; Supply Chain operations:
 
 
 <ul>
 <li>
 Material Management: Oversee the purchasing and inventory management of stone slabs &amp; blocks.
 </li>
 </ul>
 
 
 
 
 
 Office Management &amp; Administration:
 
 
 <ul>
 <li>
 Workflow Optimization: Develop and implement streamlined procedures for filing, project documentation, scheduling, and office workflows.
 </li>
 <li>
 Financial Support: Responsible of managing budgets, processing invoices, overseeing job costing, and handling customer billing.
 </li>
 <li>
 Team Supervision: Supervise administrative staff, manage office schedules, and assist HR with onboarding new employees
 </li>
 </ul>
 
 
 
 
 
 Tender &amp; Estimation:
 
 
 <ul>
 <li>
 Maintaining an updated tenders-Log with estimated submission date (Reasonable &amp; within time frame) along with communication of the same with sales team / client.
 </li>
 <li>
 Opening and briefing of Packages (RFQs)
 </li>
 <li>
 Responsibility of BOQ creation and accuracy to the scope. (If In-house)
 </li>
 <li>
 Price breakdown of each Item to set budgets for each activity. (Creation of project Brief with detailed budgeting for each assigned project)
 </li>
 <li>
 Selection of material that is suitable and can meet project needs. (If not specified)
 </li>
 <li>
 Cross-checking of material that is specified, suitability to the scope along with compliance to project spec`s with production &amp; Warehouse teams. (Proposal of suitable alternative material &amp; assumption of possible VEs)
 </li>
 <li>
 Maintain an updated material price list for the raw material in coordination with the procurement team.
 </li>
 <li>
 Pricing of related Vos, if any.
 </li>
 <li>
 Issuance of Price Quotations with the agreed general terms &amp; conditions. (Mentioning an approximate / estimated duration of completion)
 </li>
 <li>
 Prepare related weekly/monthly reports &amp; dash-boards to show progress.
 </li>
 <li>
 Coordination with all departments for actual updates to be reflected on cost in pricing new packages.
 </li>
 </ul>
 
 
 
 
 
 Engineering works:
 
 
 <ul>
 <li>
 Issuance and approval of [PQD, MARs, MS, Test Reports, Structure calculation reports, VOs, Notices, document submittals &hellip; etc.]
 </li>
 <li>
 Drafting &amp; approval of Work-shop &amp; as-built drawings sketches / proposals &amp; presentations.
 </li>
 <li>
 Issuance of cutting lists, Job-orders with all related detail sketches for production.
 </li>
 <li>
 Material selection (jointly with warehouse &amp; factory Manager)
 </li>
 <li>
 Issuance of required material requisitions.
 </li>
 <li>
 Issuance of notice of Vos.
 </li>
 <li>
 Technical coordination between site, factory &amp; accounting teams.
 </li>
 <li>
 Follow-up with 3rd partie`s (Out sourced resources):
 </li>
 <li>
 Test reports [ With QA/QC team]
 </li>
 <li>
 Structure calculations - Accessories suppliers [With Procurement team]
 </li>
 <li>
 Scheduling of awarded as well as pre-awarded projects in coordination with all related departments in tender stage.
 </li>
 <li>
 Development of unique design patterns for the re-use of wastage and existing stocks.
 </li>
 <li>
 Continuous development and renewal of show-room designs in coordination with sales and production teams.
 </li>
 </ul>
 
 
 
 
 
 QS Tasks:
 
 
 <ul>
 <li>
 Opening and briefing of Packages (RFQs)
 </li>
 <li>
 Responsibility of BOQ creation and accuracy to the scope. (If In-house)
 </li>
 <li>
 Detection and flagging to possibility of Vos &amp; Claims.
 </li>
 <li>
 Closure of Vos.
 </li>
 <li>
 Actual site survey and compliance to drawings.
 </li>
 <li>
 Issuance of IPCs to clients.
 </li>
 <li>
 Issuance of IPCs. Of sub-contractors.
 </li>
 </ul>
 
 
 
 
 
 KPIs:
 
 
 <ul>
 <li>
 Reduction of the lead-time for every package than the planned release date.
 </li>
 <li>
 Accuracy of pricing VS market prices.
 </li>
 <li>
 Qty of awarded packages VS released &amp; received
 </li>
 <li>
 Actual cost of each item VS budget.
 </li>
 <li>
 Accuracy of item description in BOQ creation to the actual
 </li>
 <li>
 Accuracy of actual take-off VS actual Qtys.
 </li>
 <li>
 Speed of Invoice submission and closure (getting approval) VS planned time frame.
 </li>
 <li>
 Speed of getting approvals on all technical submittals (on Revision basis)
 </li>
 <li>
 Accuracy and efficiency of drawings and details with the site conditions.
 </li>
 <li>
 Smooth technical coordination between Factory and site.
 </li>
 <li>
 Speed of orders processing and release from contract signature.
 </li>
 <li>
 Accuracy of As-built drawings to actual site conditions.
 </li>
 <li>
 Customer feedback on response to modifications, change &amp; Variation orders.
 </li>
