 Major Duties And Responsibilities
 
 
 
 <ul>
 <li>
 Assist, coordinate and provide the necessary support to the Contracts &amp; Procurement team in the various administrative activities of the section.
 </li>
 <li>
 Assist in resolving or escalating project contract compliance and variance issues.
 </li>
 <li>
 Develop and improve systems for contract performance monitoring that enable project and quality objectives to be met.
 </li>
 <li>
 Receive, keep, organise, submit and follow-up on the internal and external correspondence with customers, suppliers and government bodies.
 </li>
 <li>
 Maintain an up to date tracking log of all appropriate contracts &amp; procurement documentation.
 </li>
 <li>
 Expedite the delivery of goods and services of special projects/contracts, coordinate the signature of delivery notes and completion/acceptance certificates, resolve non-conformances (returns, shortages, overages and quality issues), prepare expediting/penalty reports, verify receipt of services/supplies and vendor&rsquo;s payments when required, and maintain applicable tracking files.
 </li>
 <li>
 Draft and prepare minutes of meeting and periodic reports.
 </li>
 <li>
 Oversee the provision of support and facility services such as stationary and office equipment.
 </li>
 <li>
 Assist in the various stages of sourcing, tendering and contracting when required to do so.
 </li>
 <li>
 Coordinate with vendors and the security section for supplier&rsquo;s registration and gate pass approval.
 </li>
 <li>
 Keep the Contracts and Procurement team updated on vendor statuses for qualified vendor files.
 </li>
 <li>
 Maintain frequent and close contact with project and customer sites, including sub-suppliers to ensure that routine, day-to-day contract compliance issues are effectively monitored for early intervention.
 </li>
 <li>
 Travel to other locations to perform duties when required.
 </li>
 <li>
 Maintain the confidentiality and security of all company documents.

 Minimum Qualifications
 
 
 
 <ul>
 <li>
 High school diploma is required; Bachelor&rsquo;s degree is preferred, in business administration or equivalent field of study if an advantage.
 </li>
 <li>
 A minimum of two years of experience in an administration field is required.
 </li>
 <li>
 The ability to interact in a professional manner with all levels of employee and customer.
 </li>
 <li>
 An excellent grasp of Microsoft Office software is required.
 </li>
 <li>
 The ability to communicate effectively in English, both in writing and verbally is required.
 </li>
 <li>
 Have, or be able to obtain a valid UAE driver&rsquo;s license.

Senior Procurement Coordinator

 Key Responsibilities:
 
 
 
 <ul>
 <li>
 Responsible for the immediate leadership, guidance and supervision for all assigned Warehouse Operations and Distribution employees.
 </li>
 <li>
 Plan and oversee the execution of all supply activities within the Warehouse Operations and Distribution Department, with particular emphasis on the receipt, storage, issue and distribution of spares.
 </li>
 <li>
 Develop, implement, revise and enforce all supply directives within the Warehouse Operations and Distribution Department.
 </li>
 <li>
 Ensure compliance with all safety, housekeeping and environmental directives.
 </li>
 <li>
 Ensure all issued tools, test equipment and high-value property is maintained in a serviceable condition, routinely inventoried and safeguarded.
 </li>
 <li>
 Review the job performance and training of all Warehouse Operations and Distribution employees to ensure the successful and effective accomplishment of all required tasks.
 </li>
 <li>
 Oversee the storage and disposal of all hazardous materials in accordance with all environmental directives and host country regulations.
 </li>
 <li>
 Monitor all direct labour man hours.
 </li>
 <li>
 Ensure that all Warehouse Operations and Distribution related documentation is completed in accordance with all maintenance directives.
 </li>
 <li>
 Manage and coordinate the complex and interrelated warehousing and distribution activities on a daily basis.
 </li>
 <li>
 Manage all warehouse transactions in SAP and review operational reports for accuracy and validation.
 </li>
 <li>
 Develop, implement and enforce standardised performance metrics for the Warehouse Operations and Distribution Department.
 </li>
 <li>
 Monitor and control the movement of spares between stores to ensure inventory control, availability and to maximise space utilisation.
 </li>
 <li>
 Demonstrate expertise related to inventories and the investigation of asset count discrepancies.
 </li>
 <li>
 Train supervisors on methods for implementing causative research, preventing inventory discrepancies and initiating correctives actions.
 </li>
 <li>

 Experience and Education:

 Bachelor degree in Logistics required Master degree preferred, or Equivalent years of Experiences in the same field

 A minimum of six to eight years of experience supervising, managing, and/or directing a team in warehousing operations is preferred.
 </li>
 <li>
 Previous military experience or logistics/supply experience is an advantage.
 
 
 </li>
 </ul>
 
 Key Skills:
 
 
 
 <ul>
 <li>
 Experience with Department of Defence supply concepts and MILSTRIP procedures is an advantage.
 </li>
 <li>
 Knowledge in the use of Microsoft Office software and SAP is preferred.

 The ability to communicate effectively in English, both in writing and verbally is required; Arabic is an advantage.

 MAJOR DUTIES AND RESPONSIBILITIES:
 
 
 
 <ul>
 <li>
 Review Scope of Work (SOW) specifications with requesters and end users to ensure accuracy and completeness with regards to acquisition and technical applications.
 </li>
 <li>
 Prepare and issue Tender Documents including Invitations to Tender (ITT), Requests for Proposal (RFP) and Requests for Quotations (RFQ) to vendors, evaluating bids from contractors and selecting the most suitable bidders based on technical and financial criteria.
 </li>
 <li>
 Evaluate bids from contractors and selecting the most suitable bidders based on technical and financial criteria. Prepare final contractual instruments including Purchase Orders (POs), Blanket Purchase Agreements (BPA), Service Maintenance Agreements (SMA) and contracts with all required documents and information for management approval and award.
 </li>
 <li>
 Accomplish contract administration duties during vendor execution including but not limited to the follow-up on deliveries of goods and services, coordinating the signature of delivery notes and completion/acceptance certificates, resolving non-conformances (returns, shortages, overages and quality issues) and preparing expediting/penalty reports.
 </li>
 <li>
 Negotiate prices, timelines, payment schedules, and other contractual terms with contractors.
 </li>
 <li>
 Identify and manage risks associated with contracts. This includes assessing potential delays and legal issues and resolve contractual issues.
 </li>
 <li>
 Manage change orders and modifications to the original contract.
 </li>
 <li>
 Monitor contract execution and vendor performance, ensuring compliance with agreed terms and conditions.
 </li>
 <li>
 Oversee the contract closure process, ensuring that all contract deliverables are met and all contractual obligations have been fulfilled by both parties.
 </li>
 <li>
 Ensure compliance with legal, regulatory, and company standards throughout the contract lifecycle.
 </li>
 <li>
 Support contract audits and be available to assist in all inspections and reviews.
 </li>
 <li>
 Prepare reports and provide insights to management on contract performance and risks.
 </li>
 <li>
 Support in resolving contractual issues such as delays, non-conformances, claim and dispute.
 </li>
 <li>
 Maintain contract records, track key milestones, and update relevant stakeholders on contract status.
 </li>
 <li>
 Ensure compliance with applicable health, safety, environmental, and quality management standards (ISO 9001, ISO 45001, ISO 14001).
 </li>
 <li>
 Maintain the confidentiality and security of all company documents.
 </li>
 <li>
 Support/advises other employees of the Contracts in fulfilling their roles.
 </li>
 <li>
 Perform other duties as assigned by the Manager, Contracts and Subcontracts

 </ul>
 
 Educational Qualifications and Experience:
 
 
 
 <ul>
 <li>
 Bachelor&rsquo;s degree in Civil Engineering / Diploma in Civil .
 </li>
 <li>
 Professional Certificates in Contract/ Procurement are preferred.
 </li>
 <li>
 Experience in Civil Procurement Project is mandatory
 </li>
 <li>
 A minimum of six (6) years of experience in a purchasing role is required.
 </li>
 <li>
 A minimum of five (4) years in a supervisory position is required.
 
 
 </li>
 </ul>
 
 Skills:
 
 
 
 <ul>
 <li>
 A proven ability to multi-task in a fast paced environment is an advantage.
 </li>
 <li>
 Strong communication and customer relation skills are required.
 </li>
