Administrator Position Title: AdministratorLocation: Jeddah, Saudi ArabiaEmployment Type: Full-TimeRole OverviewThe Administrator will be responsible for managing and supervising all day-to-day administrative operations of the company. This role requires an individual with strong organizational, leadership, and problem-solving skills who can ensure smooth workflow across departments. The Administrator will also play a vital role in managing and maintaining the company&rsquo;s Odoo ERP system, ensuring that it is efficiently used for HR, administrative, and operational functions.The ideal candidate must have experience in Odoo ERP Administration along with general office administration expertise.Key Responsibilities1. Administrative Management<ul><li>Oversee daily administrative operations and provide leadership to the support staff.</li><li>Maintain employee records, contracts, and official documents in an organized and secure manner.</li><li>Supervise office maintenance, cleanliness, supplies, and inventory.</li><li>Ensure smooth communication within the organization and handle correspondence (emails, letters, memos).</li><li>Manage travel arrangements, visa processing, accommodation, and transport for employees (if required).</li><li>Monitor company policies and ensure all staff are following guidelines.</li><li>Manage incoming and outgoing mail, courier services, and other communications.</li></ul>2. Odoo ERP Administration<ul><li>Manage and configure Odoo modules related to HR, Administration, and Operations.</li><li>Maintain accurate data entry of employees, attendance, leaves, and approvals in Odoo.</li><li>Generate reports from Odoo for management and ensure timely submission.</li><li>Troubleshoot issues related to Odoo and provide first-level support.</li><li>Coordinate with Odoo support/technical team for system upgrades, bug fixes, and customization.</li><li>Train staff in the use of Odoo system where necessary.</li></ul>3. HR &amp; Employee Support<ul><li>Assist HR department with recruitment, onboarding, and employee records.</li><li>Prepare offer letters, contracts, and official HR correspondence.</li><li>Maintain attendance, leave records, and overtime data.</li><li>Support in payroll processing by providing accurate attendance and employee data.</li><li>Resolve employee queries regarding policies, HR, and administrative matters.</li></ul>4. Office &amp; IT Coordination<ul><li>Ensure all IT systems (computers, networks, printers, email systems) are functional.</li><li>Liaise with IT vendors for technical issues, upgrades, and licensing renewals.</li><li>Ensure proper backup of important files and company data.</li><li>Maintain company&rsquo;s digital and physical records.</li></ul>5. Financial &amp; Reporting Support<ul><li>Assist accounts/finance department with invoice preparation, petty cash management, and expense reports.</li><li>Monitor office budgets and prepare monthly expenditure reports.</li><li>Support management with data collection, documentation, and report generation.</li></ul>Requirements &amp; Skills<ul><li>Education: Bachelor&rsquo;s Degree in Business Administration, IT, or related field.</li><li>Experience: Minimum 3&ndash;5 years of proven work experience as an Administrator, with hands-on Odoo ERP experience.</li><li>Strong knowledge of HR &amp; administrative procedures.</li><li>Excellent command over MS Office (Word, Excel, Outlook, PowerPoint).</li><li>Strong communication skills in English (Arabic is a plus).</li><li>Ability to multitask and manage multiple priorities under pressure.</li><li>Strong problem-solving and decision-making skills.</li><li>High level of confidentiality and integrity.</li></ul>Salary &amp; Benefits<ul><li>Salary: Will be decided depending on your interview performance and experience.</li></ul>Job Type: Full-timeApplication Question(s):<ul><li>According to our job description, only those whose CV details match will be shortlisted.
