Job Overview We are seeking a dedicated and professional Front Office Assistant to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. In this role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support to visitors and clients. Your expertise in office management and clerical tasks will ensure the smooth functioning of daily administrative activities .Candidates who have Experience in Call centers .Responsibilities<ul><li>Greet visitors and clients warmly, ensuring a professional and friendly first impression.</li><li>Manage multi-line phone systems efficiently, directing calls appropriately and taking detailed messages when necessary.</li><li>Maintain organized filing systems, including digital data entry and paper document management, ensuring easy retrieval of information.</li><li>Provide administrative support such as scheduling appointments, calendar management, and coordinating meetings.</li><li>Assist with office management tasks including supply inventory, basic bookkeeping using QuickBooks, and maintaining office cleanliness.</li><li>Support customer service efforts by responding promptly to inquiries via phone or email, demonstrating excellent phone etiquette and professionalism.</li><li>Utilize computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and proofreading documents for accuracy.</li><li>Perform clerical duties such as data entry, filing, and document proofreading to ensure accuracy and organization.</li><li>Support personal assistant functions including calendar management and task prioritization to enhance executive productivity.</li></ul>Requirements<ul><li>Proven experience working at a front desk or in an administrative support role within an office setting.</li><li>Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.</li><li>Excellent communication skills with proficiency in phone etiquette and customer support techniques.</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively.</li><li>Demonstrated computer literacy with experience in Microsoft Office (Word, Excel), Google Workspace, QuickBooks, and data entry tasks.</li><li>Previous clerical experience including filing, proofreading, and managing schedules or calendars.</li><li>Knowledge of office management practices along with strong time management skills.</li><li>Personal assistant or office management experience is advantageous but not mandatory; a proactive attitude is essential.
