If you are highly organized, detail-oriented, accountable, and take pride in getting things right the first time, we would like to talk with you.Position OverviewThe Payroll &amp; Billing Administrator is responsible for the accurate and timely administration of payroll, employee benefits, and customer invoicing. This position serves as a critical checkpoint between employee time reporting, payroll processing, and customer billing. The successful candidate will ensure hours paid and hours billed are accurate, supported by documentation, and processed on schedule. This role works closely with Operations, Finance, Human Resources, Project Management, and Leadership to support the company's continued growth.What Success Looks LikeAt Altair, success is measured by both results and behavior.Results<ul><li>Employees are paid accurately and on time.</li><li>Customers are billed accurately and on time.</li><li>Payroll and invoicing records are complete and audit-ready.</li><li>Deadlines are consistently met.</li><li>Payroll corrections and invoice revisions are minimized.</li></ul>The Altair Way<ul><li>Own mistakes and resolve them quickly.</li><li>Communicate issues before they become problems.</li><li>Support teammates and departments across the company.</li><li>Continuously improve processes and efficiency.</li><li>Demonstrate professionalism, accountability, and integrity in every interaction.</li></ul>Key ResponsibilitiesPayroll Administration<ul><li>Process payroll through ADP.</li><li>Review and validate employee time records.</li><li>Audit payroll information for accuracy and completeness.</li><li>Process reimbursements, per diem, bonuses, and adjustments.</li><li>Resolve payroll discrepancies and employee inquiries.</li><li>Maintain payroll records and supporting documentation.</li><li>Support prevailing wage and certified payroll reporting requirements when applicable.</li></ul>Billing &amp; Invoicing<ul><li>Prepare and process customer invoices through QuickBooks.</li><li>Verify billable hours, labor classifications, billing rates, and supporting documentation.</li><li>Reconcile hours paid against hours billed.</li><li>Ensure invoices are submitted accurately and on schedule.</li><li>Maintain organized billing records and documentation.</li><li>Assist with invoice tracking and collections support.</li></ul>Benefits Administration<ul><li>Administer employee benefit enrollments and changes.</li><li>Coordinate benefit communications and documentation.</li><li>Maintain employee benefits records.</li><li>Serve as a resource for employee benefit-related questions.</li></ul>Administrative Support<ul><li>Generate payroll and billing reports.</li><li>Assist with month-end reporting activities.</li><li>Maintain confidential employee and financial information.</li><li>Support audits and compliance requirements.</li><li>Identify opportunities to improve processes, efficiency, and accuracy.</li></ul>Required QualificationsExperience<ul><li>Minimum 2 years of daily payroll processing experience using ADP.</li><li>Minimum 2 years of daily experience using QuickBooks.</li><li>Minimum 3 years of payroll, billing, accounting, or administrative experience.</li><li>Experience reviewing and reconciling employee time records.</li><li>Experience working in a fast-paced business environment.</li></ul>Skills<ul><li>Exceptional attention to detail.</li><li>Strong organizational and time management skills.</li><li>Ability to manage multiple priorities and deadlines.</li><li>Strong written and verbal communication skills.</li><li>High level of professionalism and confidentiality.</li><li>Proficiency with Microsoft Excel and Microsoft Office applications.</li></ul>Preferred Qualifications<ul><li>Experience with multi-state payroll.</li><li>Experience with prevailing wage payroll.</li><li>Experience with certified payroll reporting.</li><li>Experience in construction, field services, staffing, energy, or renewable energy industries.</li><li>Associate's or Bachelor's degree in Accounting, Business Administration, Human Resources, or a related field.</li></ul>Why Join Altair?<ul><li>Competitive compensation and benefits.</li><li>Growing company with advancement potential.</li><li>Collaborative and supportive team environment.</li><li>Work in one of the fastest-growing industries in North America.</li></ul>Before You ApplyThis role requires hands-on experience.Applicants should have real-world experience processing payroll in ADP and preparing invoices in QuickBooks.
