American Executive Centers has six facilities in the Greater Philadelphia area in both Pennsylvania and New Jersey suburban markets. Our Executive offices offer wired, furnished Office Space and conference rooms with Reception, Secretarial and IT Support.We are seeking a Part-Time Administrative Assistant to support the secretarial needs of our clients in our Center City location. You will be supporting our clients by preparing documents and legal correspondence, as well as organizing and maintaining files and assisting with other tasks as required.Requirements:<ul><li>Working knowledge of Microsoft Office (Word, Excel and PPT)</li><li>Strong oral and written communication skills</li><li>Ability to effectively multitask, manage time-sensitive documents, and have exceptional organizational and customer service skills</li><li>Previous office administration experience preferred.</li><li>Team-oriented attitude with a proactive approach.</li><li>Ability to make informed decisions and work independently.</li><li>Energetic, upbeat, and reliable under pressure.</li><li>Capable of meeting deadlines while maintaining attention to detail.</li></ul>Duties:<ul><li>Prepare legal documents under the direction of lawyers.</li><li>Organize and maintain documents, both paper and electronic, in a systematic filing system.</li><li>File pleadings in person and electronically.</li><li>Coordinate and perform assignments, ensuring high quality and timely delivery.</li><li>Draft written communications, such as letters, memos, and emails.</li><li>Review, tabulate, and enter data into various systems.</li><li>Operate various office equipment, including fax machines.</li><li>Assist with special projects as assigned.</li><li>Keep accurate daily records.</li><li>Provide courteous and professional customer service to clients.</li><li>Prioritize tasks based on urgency, importance, and potential business or client impact.</li></ul>Work Location: In person
