</b></p></div><p></p>ASCO is seeking a high-performing, hands-on Accounts Payable Manager who brings both operational excellence and a strategic mindset to lead a critical function without our finance team.

In this role, the Accounts Payable Manager will play a key role in financial operations, driving process improvements, ensuring accuracy and timeliness, and strengthening both internal and external partnerships.

This position is hybrid with a primary location in Alexandria, VA. We anticipate the hire to be on site approximately 1 day per week.
<p></p><div><div><p><b>Responsibilities
</b></p></div><div><ul><li><p>Lead and assist the AP team in processing invoices, payments, and expense reports.
</p></li></ul></div><div><ul><li><p>Ensure that non-PO and PO invoices are processed daily in our financial system.
</p></li></ul></div><div><ul><li><p>Ensure that new vendors, suppliers, and volunteers are created timely .
</p></li></ul></div><div><ul><li><p>Collaborate on responding to emails timely including the AP mailbox.
</p></li></ul></div><div><ul><li><p>Collaborate with uploading invoices for Honoraria, Grants and Awards.
</p></li></ul></div></div><div><div><ul><li><p>Collaborate with team members to prioritize daily activities.
</p></li></ul></div><div><ul><li><p>Manage payment returns and rejections timely .
</p></li></ul></div><div><ul><li><p>Manage and clear outstanding checks. Record and reconcile corporate department cards and VP credit cards payments.
</p></li></ul></div><div><ul><li><p>Review and process weekly payment batches for Direct Debit Payment, ACHs/ Checks and batches for Zelle, Paypal , w ires, ensuring accuracy and timeliness of payments to vendors and suppliers.
</p></li></ul></div><div><ul><li><p>Oversee and maintain key relationships with banks and payment service providers.
</p></li></ul></div><div><ul><li><p>In partnership with our banking and payment service providers, collaborate to continuously optimize internal processes and integrate emerging market trends.
</p></li></ul></div><div><ul><li><p>Quickly triage and resolve escalated issues related to invoices, vendor inquiries, and payment discrepancies while proactively communicating status.
</p></li></ul></div><div><ul><li><p>Train staff across the organization to properly use Oracle Financial Cloud
</p></li></ul></div><div><ul><li><p>Work with financial team to identify Accounts Payable improvements in Oracle Financial Cloud
</p></li></ul></div><div><ul><li><p>Participate in the timely cadence of the month-end close process ensuring deadlines are met and a high-quality product is delivered.
</p></li></ul></div><div><ul><li><p>Develop and implement AP policies and procedures to ensure compliance with regulatory requirements and internal controls.
</p></li></ul></div><div><ul><li><p>Ensure compliance with internal policies, accounting standards, and regulatory requirements related to AP.
</p></li></ul></div><div><ul><li><p>Prepare financial reports related to AP activities, including aging reports, reconciliation statements, and variance analysis.
</p></li></ul></div><div><ul><li><p>Collaborate within the Finance Department to determine areas of improvement and develop plans to implement.
</p></li></ul></div><div><ul><li><p>Analyze financial data to identify trends, areas for improvement, and cost-saving opportunities.
</p></li></ul></div><div><ul><li><p>Collaborate with the finance team to support budgeting, forecasting, and financial planning processes.
</p></li></ul></div><div><ul><li><p>Coordinate with auditors during internal and external audits, providing necessary documentation and explanations.
</p></li></ul></div><div><ul><li><p>Implement controls and measures to prevent fraud, errors, and discrepancies in AP processes.
</p></li></ul></div><div><ul><li><p>Provide leadership, guidance, and mentorship to the AP teams , fostering a culture of accountability, collaboration, and continuous improvement.
</p></li></ul></div><div><ul><li><p>Conduct performance evaluations, set goals, and develop training programs to enhance team skills and productivity.
</p></li></ul></div></div><div><div><ul><li><p>Managing the accuracy of the vendor database
</p></li></ul></div><div><ul><li><p>Prepare, review, and submit 1099/ 1096 timely .
</p></li></ul></div><div><ul><li><p>Serve as a backup to Procurement and Contract Specialist<br>
</p></li></ul></div><p></p><div><p><b>Required Education and Experience
</b></p></div><div><ul><li><p>Bachelor's degree in accounting, finance, management, or a related field or equivalent years of experience
</p></li></ul></div><div><ul><li><p>6+ years' experience performing full-function accounts payable duties
</p></li></ul></div><div><ul><li><p>Extensive knowledge of accounting and accounts payable principles, including general ledger coding
</p></li></ul></div><div><ul><li><p>Experience in calculating, posting, and managing financial records accurately
</p></li></ul></div><div><ul><li><p>Staff management experience with a track record of engaging, motivating, and developing staff<br>
</p></li></ul></div><p></p><div><p><b>Preferred Education and Experience
</b></p></div><div><ul><li><p>Oracle Financial Cloud experience preferred<br>
</p></li></ul></div><p></p><div><p><b>Competencies
