This paid position provides a chance to develop your office management expertise while contributing to a vibrant professional setting.Responsibilities<ul><li>Serve as the front desk ambassador, greeting visitors and clients with professionalism and warmth.</li><li>Operate multi-line phone systems, answer inquiries, direct calls, and manage voicemail messages promptly.</li><li>Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents.</li><li>Manage calendar scheduling, appointment setting, and coordinate meetings for staff and executives.</li><li>Handle data entry tasks with accuracy using Microsoft Office Suite, Google Workspace, and other relevant software.</li><li>Support bookkeeping activities using QuickBooks or similar accounting tools to track expenses and invoices.</li><li>Provide exceptional customer support through phone etiquette, email correspondence, and in-person interactions.</li><li>Assist with clerical duties such as proofreading documents, preparing reports, and managing office supplies.</li><li>Perform general office management duties including organizing files, maintaining office equipment, and overseeing daily operations.</li><li>Support personal assistant tasks when needed, including travel arrangements or special project coordination.</li></ul>Experience<ul><li>Proven experience in an administrative or clerical role within an office environment.</li><li>Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry software.</li><li>Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.</li><li>Demonstrated customer service skills with professional phone etiquette and interpersonal communication abilities.</li><li>Bilingual capabilities are highly desirable to assist diverse client needs.</li><li>Experience with office management systems such as multi-line phone systems or front desk operations preferred.</li><li>Familiarity with bookkeeping software like QuickBooks or similar financial tools is a plus.</li><li>Previous experience in medical or dental receptionist roles is advantageous but not required.
