Position OverviewThe People Operations &amp; Administrative Manager will manage HR processes, prepare and eventually run payroll, support the COO with administrative needs, oversee onboarding and employee records, approve PTO and leave requests, and coordinate office and vendor operations. This is a trusted, blended role combining HR, administration, and operational coordination to ensure our internal environment runs smoothly.You will have authority to approve PTO, sick time, and unpaid leave, with reporting provided to leadership as needed. Payroll (ADP) will be prepared by you and reviewed by the COO until fully trained, at which point you will assume full ownership. Employee relations will be handled by the executive team, with your support for documentation and workflow. As Apex continues to grow, this role may evolve into a leadership position with oversight of additional HR or administrative staff.Key ResponsibilitiesPeople Operations (HR)<ul><li>Execute onboarding and offboarding processes end-to-end.</li><li>Prepare biweekly payroll in ADP for COO review; transition to full responsibility.</li><li>Approve PTO, sick leave, and unpaid leave requests; maintain accurate tracking and provide reports.</li><li>Maintain employee files, HR compliance, and documentation.</li><li>Administer health benefits, PTO programs, and 401k matching processes.</li><li>Assist the COO with employee relations documentation (COO leads interactions).</li><li>Maintain and update HR policies, SOPs, and company forms.</li></ul>Administrative Support<ul><li>Serve as primary administrative support to the executive team.</li><li>Coordinate calendars, internal meetings, communication, and documentation.</li><li>Support travel arrangements and document preparation as needed.</li><li>Plan and execute company events, team-building activities, and employee recognition efforts.</li><li>Organize internal documentation and ensure information is accurate and accessible.</li></ul>Operational Coordination<ul><li>Coordinate with our MSP on IT onboarding: hardware, accounts, and access permissions.</li><li>Oversee office supplies, equipment purchasing, and vendor relationships.</li><li>Manage cleaning crew, building services, and basic facilities needs.</li><li>Support general operational tasks and special projects as assigned.</li></ul>Qualifications<ul><li>3&ndash;6 years of experience in HR, people operations, administrative management, or office operations.</li><li>Experience with ADP or similar HRIS/payroll systems strongly preferred.</li><li>Exceptional organizational, communication, and documentation skills.</li><li>Ability to manage confidential information with professionalism and discretion.</li><li>Comfortable operating in a fast-paced, rapidly scaling environment.</li><li>Vendor management or event planning experience is beneficial.</li></ul>Pay: $49,365.24 - $100,000.00 per yearBenefits:<ul><li>401(k)</li><li>401(k) matching</li><li>Dental insurance</li><li>Health insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Application Question(s):<ul><li>Describe a time you were the &lsquo;go-to&rsquo; person for HR or administrative processes in a small or growing organization.
