Role OverviewThe Order Processing &amp; Vendor Coordination Executive is responsible for preparing the Order Processing File, validating order details, conducting stock checks, and coordinating with vendors to source books that are not available in inventory. This role ensures accurate order mapping, timely procurement, and profitable negotiations.Key Responsibilities1. Order Processing File Creation<ul><li>Download new POs daily.</li><li>Extract SKU, title, price, quantity, and PO details into the master processing file.</li><li>Validate the correctness of data and flag discrepancies.</li><li>Organize the file for actionable insights (Available / Needs Procurement / OOS).</li></ul>2. Stock Checking &amp; Inventory Validation<ul><li>Check stock availability via ERP / Excel inventory sheet.</li><li>Categorize items:</li><li>Available</li><li>Low Stock</li><li>Not Available (requires sourcing)</li><li>Highlight urgent / high-value items for priority handling.</li></ul>3. Vendor Coordination &amp; Procurement SupportFor all items not in stock:<ul><li>Contact approved vendors, publishers, and distributors.</li><li>Share SKU list for availability confirmation.</li><li>Collect rates, lead times, and stock status.</li><li>Negotiate for the best possible purchase rate to protect margins.</li><li>Update the processing file with:</li><li>Vendor name</li><li>Final negotiated rate</li><li>Committed delivery timeline</li><li>Minimum order quantity (if any)</li></ul>4. Margin &amp; Feasibility Check<ul><li>Compare PO selling price vs. vendor rate</li><li>Flag low-margin or negative-margin SKUs</li><li>Provide recommendations to the Ops Manager regarding feasibility</li></ul>5. Inter-Department Coordination<ul><li>Share final processing file with the Procurement Team for PO placement.</li><li>Update the Warehouse Team on items ready for picking.</li><li>Coordinate with the Finance Team for rate confirmations (if required).</li></ul>6.
