Position Overview

The HubSpot Specialist will be responsible for owning, optimizing, and scaling Ardan&rsquo;s HubSpot platform across marketing, sales, and communications functions. This role will serve as the technical and strategic expert for HubSpot, ensuring the CRM supports lead generation, customer engagement, internal workflows, reporting, and data integrity across Ardan&rsquo;s family of companies.

This is a highly hands-on role requiring deep HubSpot expertise, strong collaboration skills, and the ability to translate business objectives into automated, measurable systems.

Key Responsibilities

HubSpot Platform Ownership
<ul>
<li>Serve as the primary administrator and subject-matter expert for HubSpot across Marketing, Sales, and Service Hubs</li>
<li>Configure and maintain properties, pipelines, lifecycle stages, permissions, and data architecture</li>
<li>Ensure data integrity, governance, and best practices across all users and business units</li></ul> 


Marketing Automation &amp; Campaign Execution
<ul>
<li>Build and optimize workflows, email nurtures, forms, landing pages, and campaigns</li>
<li>Partner with marketing leadership to support brand, demand generation, event, and content initiatives</li>
<li>Implement lead scoring, segmentation, and routing strategies aligned with business goals</li>
</ul>
Sales &amp; CRM Enablement
<ul>
<li>Support sales teams with pipeline optimization, deal stages, automation, and reporting</li>
<li>Create dashboards and reports to track performance, conversions, and ROI</li>
<li>Collaborate with sales leadership to improve adoption and usability</li>
</ul>
Integrations &amp; Technical Optimization
<ul>
<li>Manage HubSpot integrations with third-party platforms (e.g., Salesforce, Zoom, event platforms, CMS, analytics tools)</li>
<li>Identify opportunities to streamline workflows and reduce manual processes</li>
<li>Troubleshoot technical issues and coordinate with HubSpot support when needed</li>
</ul>
Analytics, Reporting &amp; Insights
<ul>
<li>Develop standardized dashboards and executive-level reporting</li>
<li>Track KPIs related to leads, conversions, engagement, and campaign performance</li>
<li>Provide actionable insights and recommendations to marketing and executive leadership</li>
</ul>
Training &amp; Enablement
<ul>
<li>Train internal teams on HubSpot best practices and new features</li>
<li>Create documentation and SOPs to support scalable use of the platform</li>
<li>Serve as an internal consultant for HubSpot-related questions and enhancements</li>
</ul>
Qualifications

Required
<ul>
<li>3&ndash;5+ years of hands-on HubSpot administration and optimization experience</li>
<li>Strong experience with Marketing Hub and CRM (Sales Hub experience strongly preferred)</li>
<li>Demonstrated expertise in workflows, automation, reporting, and data structure</li>
<li>Experience supporting multi-brand or multi-business environments</li>
<li>Strong analytical mindset with attention to detail</li>
<li>Excellent communication and collaboration skills</li>
</ul>
Preferred
<ul>
<li>HubSpot certifications (Marketing Software, Sales Software, or CMS)</li>
<li>Experience in B2B, SaaS, financial services, or real estate/title industries</li>
<li>Experience working in a shared-services or enterprise environment</li>
<li>Familiarity with brand architecture and segmentation strategies</li></ul>

Position Summary: Escrow Clerk will assist with a variety of customer service and administrative duties related to receiving and reviewing agent escrow account reconciliations and accounting records. The Escrow Clerk will be required to assist with printing, preparing and filing of the reconciliations received for review. 


Essential Functions:
<ul>
<li>Monitor reconciliation email inbox for reconciliations received</li>
<li>Print and prepare the reconciliations received for review by pulling corresponding bank account folders</li>
<li>An understanding of how to review escrow accounting records and inputting the required data into our tracking systems and databases</li>
<li>Communicating with clients, including requesting missing information related to the reconciliations</li>
<li>Reconciling the agent&rsquo;s escrow accounting software to their bank statements and creating finalized reconciliation reports</li>
<li>Handle emails and phone calls at a fast pace with the utmost customer service.</li>
<li>As an Escrow Clerk, you must be highly motivated, organized and detail oriented with the ability to thrive in a fast-paced, high volume and deadline-oriented environment. It is also important that you have excellent verbal and written communication and interpersonal skills as well as the ability to deliver superior customer service. Specific qualifications for the position include:</li>
<li>High school diploma or equivalent</li>
<li>Bookkeeping or banking experience is a plus</li>
<li>Familiarity with escrow accounting software is recommended.</li>
<li>Ability to consistently meet deadlines, demonstrate strong follow through, and to follow departmental procedures</li>
<li>Ability to function effectively as part of a team</li>
<li>Ability to comprehend and write instructions, correspondence, and memos using proper punctuation, spelling and grammar.</li>
<li>Must be a people person and have excellent customer service skills in email, on phone and in person.</li></ul> 


Qualifications

<li>Bookkeeping or accounting clerk experience is strongly recommend</li>
<li>Strong customer service/communication and organization skills.</li>

Education, Formal Training, and Experience

<li>1 - 3 years experience in clerical accounting</li>
