 Job Summary
 
 
 
 Under the direction of the surgeon, the medical assistant surgery scheduler performs surgery scheduling and various routine clerical tasks. The surgery scheduler oversees insurance inquiries; performs pre-authorization reviews and explains deductible and payments if necessary; and schedules surgery time with hospital. Works closely with clinic lead and other members of the office to trouble-shoot and resolve problems, maintains positive relationships with patients, family members and other visitors, and fellow employees.
 
 
 
 Duties And Responsibilities
 
 
 
 <ul>
 <li>
 Record patients' medical history, vital statistics, or information such as test results in medical records.
 </li>
 <li>
 Interview patients to obtain medical information and measure their vital signs, weight, and height.
 </li>
 <li>
 Accompanying patients to the appropriate exam room; assisting patients as needed with walking, transfers, dressing, and preparing them for the physician.
 </li>
 <li>
 Assisting and Caring for Others &mdash; providing personal assistance, medical attention, emotional support, or other personal care to others such as coworkers, customers, or patients.
 </li>
 <li>
 Documenting/Recording Information &mdash; entering, recording, storing, or maintaining information in written or electronic form.
 </li>
 <li>
 Getting Information &mdash; observing, receiving, and otherwise obtaining information from all relevant sources.
 </li>
 <li>
 Communicating with Supervisors, Peers, Patients, and Physicians &mdash; providing accurate messages/instructions by telephone, in written form, e-mail, or in person.
 </li>
 <li>
 Interacting with Computers &mdash; Using computers and electronic medical records to enter data, or process information.
 </li>
 <li>
 Cleaning according to scheduled maintenance program and keeping appropriate records; managing inventory of supplies; assisting with the ordering of patient care supplies, restocking treatment rooms, exam rooms, and procedure room.
 </li>
 <li>
 Monitor and track prescription sent as eRX and refill requests.
 </li>
 <li>
 Prepare treatment rooms for patient examinations, set up instruments and equipment according to department protocol.
 </li>
 <li>
 Fill out lab requisition for pathology and call for pick up at lab where patients insurance is accepted.
 </li>
 <li>
 Perform patient blood draw.
 </li>
 <li>
 Send orders for labs, imaging, referrals or Meds to appropriate facilities when ordered by provider.
 </li>
 <li>
 When providers order STAT requests: calling and scheduling for the patient before they leave our office. Calling insurance to request prior authorization as necessary.
 </li>
 <li>
 Monitor biohazard and sharps daily according to OSHA.
 </li>
 <li>
 Restock, manage and check expiration dates for all supplies in rooms and storage rooms.
 </li>
 <li>
 Answer clinical phone calls.
 </li>
 <li>
 Checks phone messages hourly and return all calls before lunch, midafternoon, and prior to leaving for the day.
 </li>
 <li>
 Ensure that post-operative/post procedure appointments are prepared with patient pathology/lab reports.
 </li>
 <li>
 Accurately relay messages/instructions to patients/families
 </li>
 <li>
 Complete forms/requisitions as needed; scheduling appointments; verifying insurance coverage and patient demographics, managing charts to ensure information is complete and filed appropriately.
 </li>
 <li>
 Surgery scheduler sees all patients prior to patient checkout.
 </li>
 <li>
 Coordinates arrangements for surgical assistants, special equipment and surgical materials. Organizes schedules and ensures that there are no physician or equipment conflicts.
 </li>
 <li>
 Promptly and efficiently responds to patient and physician inquiries, scheduling requests, and updating information.
 </li>
 <li>
 Provides necessary information related to the surgery to the surgeon, OR/Hospital and patient.
 </li>
 <li>
 Handles correspondence related to surgery to and from surgical patients, OR/Hospital, outside physicians and insurance companies.
 </li>
 <li>
 Provides detailed explanation to patients about insurance coverage and costs associated with their procedure.
 </li>
 <li>
 Acts as intermediary between patient and surgeon and as primary contact for surgical patients and hospital.
 </li>

 Provides education concerning patient responsibilities.
 </li>
 <li>
 Prepare all FMLA paperwork and notify patients when complete.
 </li>
 <li>
 Comply with all AZCCC policies and procedures.
 </li>
 <li>
 Maintains strict confidentiality related to medical records and other data.
 </li>

 Works shifts as assigned. Scheduled shifts/locations will rotate according to clinic needs.

 The Clinical Research Assistant provides administrative and operational support for clinical research studies conducted by the organization. This position assists with document management, regulatory submissions, scheduling, and other activities essential to the coordination and execution of clinical trials. Under the supervision of the clinical program manager, the Clinical Research Assistant ensures that study-related documentation is accurate, organized, and compliant with applicable regulatory standards. The role requires strong attention to detail, effective communication skills, and the ability to perform routine support tasks within established guidelines. This position supports Clinical Research Coordinators (CRCs), investigators, and the broader research team to facilitate efficient trial conduct.
 
 
 
 Duties And Responsibilities

 Assists with study start-up activities, including the collection, organization, and preparation of study-related documents.

 Assists in maintaining regulatory binders and trial master files in compliance with sponsor and institutional requirements.

 Schedules participant visits and coordinates appointment logistics with clinical staff and investigators.
 </li>
 <li>
 Assists in preparing and submitting Institutional Review Board (IRB) documents, amendments, and continuing reviews under supervision.

 Knowledge and understanding of the laws, regulations, ICH/GCP guidelines, and ethical principles that guide the practice of clinical research.

 Knowledge and application of all privacy and safety standards as they relate to job responsibilities, human research subjects, staff, and the general operation of the facility.

 Tracks participant enrollment, screening outcomes, and visit completion to support study progress.

 Assists in maintaining study-related logs and trackers, such as delegation logs, screening logs, and training logs.

 Enters data into sponsor portals, electronic data capture (EDC) systems, and internal databases, ensuring accuracy and timeliness.
