Job Title: Administrative Assistant Location: Franklin, TN Employment Type: Full-TimeJob Summary: We are seeking an organized and detail-oriented Administrative Assistant to support our law firm. The ideal candidate will provide administrative support to attorneys and escrow team, manage client communications, and handle sensitive documentation with professionalism and confidentiality.Key Responsibilities:<ul><li>Client Support: Greet clients, answer phone calls, respond to emails, and assist with day to day scheduling and calendar, ensuring professional and courteous communication.</li><li>Document Management: Prepare, organize, and file legal documents related to escrow agreements, wills, trusts, and estate planning. Ensure accuracy and compliance with legal standards.</li><li>Escrow Coordination: Assist with escrow account management, including tracking deposits, disbursements, and reconciliations. Communicate with clients, banks, and title companies as needed.</li><li>Estate Planning Support: Compile and organize client information for estate planning documents. .</li><li>Confidentiality: Maintain strict confidentiality of client information and sensitive legal matters.</li><li>Technology Use: Utilize software (e.g., Rocket Matter &amp; SoftPro) and Microsoft Office Suite.</li></ul>Qualifications:<ul><li>High school diploma or equivalent; associate&rsquo;s or bachelor&rsquo;s degree preferred.</li><li>1-3 years of administrative experience, preferably in a law firm.</li><li>Knowledge of escrow processes and estate planning terminology is a plus.</li><li>Strong organizational skills and attention to detail.</li><li>Proficiency in Microsoft Office (Word, Excel, Outlook) and legal practice management software.</li><li>Excellent communication and interpersonal skills.</li><li>Ability to multitask, prioritize, and work under tight deadlines.</li><li>Professional demeanor and commitment to confidentiality.</li></ul>Preferred Skills:<ul><li>Experience with escrow account management or trust administration.</li><li>Familiarity with legal documents such as deeds, trusts, or powers of attorney.</li><li>Basic understanding of accounting principles for escrow and billing tasks.</li></ul>Job Type: Full-timeAbility to Commute:<ul><li>Franklin, TN 37064 (Required)</li></ul>Ability to Relocate:<ul><li>Franklin, TN 37064: Relocate before starting work (Required)</li></ul>Work Location: In person
