Document Control Specialist at atNorth
The Document Control Specialist ensures the integrity, accuracy, accessibility, and lifecycle management of quality-related documentation and records within atNorth&rsquo;s Integrated Management System (IMS). This role is essential for maintaining atNorth&rsquo;s ISO 9001 certification and supporting other management system standards, including ISO 14001, ISO 27001, and ISO 45001. In addition, the position contributes to continuous improvement initiatives, document control governance, and coordination of quality-related projects.
The Document Control Specialist works closely with the Quality Manager and provides guidance and support to the Sustainability and Compliance Department, as well as other teams, on quality assurance and document control practices. 
 
In this role, you can be based in any of the following locations: Akureyri, Keflav&iacute;k, or Reykjav&iacute;k in Iceland; Copenhagen in Denmark; Espoo in Finland; or Stockholm in Sweden 
Key responsibilities:
Documentation Management<ul><li>
Maintain controlled documents and records within the IMS and internal documentation platform (Confluence).</li><li>
Ensure proper version control, accessibility, retention, and secure disposal in line with ISO standards, regulatory requirements, and internal policies.</li><li>
Assist document and process owners in drafting, reviewing, approving, and updating policies, processes, and procedures.</li><li>
Act as the Confluence super user, ensuring a consistent structure for quality-related documents.</li></ul>
Support<ul><li>
Assist the Quality Manager in improving and streamlining the IMS.</li><li>
Promote consistency, standardization, and alignment of documentation across atNorth.</li><li>
Support process owners and managers with compliance documentation.</li></ul>
Project Management<ul><li>
Contribute to quality and compliance improvement projects across the organization.</li><li>
Track project status, maintain documentation, and provide reporting.</li></ul>
Training and Awareness<ul><li>
Coordinate and support training sessions on document control, IMS processes, and quality awareness.</li></ul> 
Your profile:<ul><li>
5&ndash;7 years of relevant experience, ideally in quality management, compliance, or project management.</li><li>
Solid knowledge of ISO standards, especially ISO 9001.</li><li>
Experience with Confluence or similar documentation management systems.</li><li>
Strong organizational and project management skills.</li><li>
Broad understanding of quality management, with specific expertise in document control.</li><li>
Detail-oriented with strong analytical and problem-solving skills.</li><li>
Effective communicator, able to engage with colleagues across departments.</li><li>
Fluent in English, both written and spoken.</li></ul>

Document Control Specialist

<div>About the Role
We are looking for a PMO Document Controller to join our Project Management Office (PMO) and provide dedicated support to project teams across atNorth. In this role, you will focus on document control activities within each project, ensuring that documentation is accurate, well-structured, and compliant with internal standards and external requirements.
You will assist with implementing and maintaining document control procedures, including naming conventions, version control, and workflows. Acting as a key support resource, you will help project managers, design managers, and other stakeholders by setting up structures, resolving document-related issues, and promoting best practices.
This role is essential for maintaining consistency and efficiency across all phases of our projects&mdash;from early development through handover&mdash;by ensuring teams have the right tools, templates, and guidance for effective document management. 
 
This role can be based in Reykjav&iacute;k, Akureyri or Keflavik.
Key Responsibilities<ul><li>
Support project teams with all document control activities across atNorth&rsquo;s development projects.</li><li>
Maintain and manage atNorth&rsquo;s ACC hub to enable collaboration and efficient document workflows.</li><li>
Implement and enforce document control standards, including version control, archiving, and distribution.</li><li>
Provide templates, naming conventions, and checklists to ensure consistency across projects.</li><li>
Ensure compliance with internal procedures, contractual requirements, and certifications.</li><li>
Assist with onboarding and training teams (internal and external) on document control processes and platform use.</li><li>
Respond to platform-related questions and configure access and structures tailored to project needs.</li><li>
Maintain documentation schedules aligned with project milestones.</li><li>
Act as a resource for document control best practices and knowledge sharing across teams.</li><li>
Facilitate collaboration between atNorth teams and contractors by ensuring correct access and efficient workflows.</li></ul>
About You<ul><li>
Experience in document control or project administration, ideally within construction, engineering, or data center development.</li><li>
Strong understanding of document management systems and best practices.</li><li>
Familiarity with project collaboration platforms; experience with ACC or similar tools is an advantage.</li><li>
Ability to maintain standards and ensure compliance across multiple stakeholders.</li><li>
Excellent communication skills for training and supporting diverse teams.</li><li>
Highly organized, detail-oriented, and proactive in problem-solving.</li><li>
Comfortable working across multiple projects and deadlines simultaneously.</li></ul>
Preferred Qualifications &amp; Experience<ul><li>
Previous experience in a PMO or project delivery environment.</li><li>
Technical knowledge of construction or engineering documentation.</li><li>
Strong IT and digital collaboration skills.</li><li>
Fluent in English; fluency in Icelandic language is a huge plus.</li></ul>
