<div>The Logistics Coordinator is the hub for day-to-day execution across Field Ops. This role owns ticket triage, prioritization, and routing, making sure work orders and operational tasks are assigned to the right team (maintenance, housekeeping, APM/PCT, field ops support/runners, inspectors, vendors) with the right context, timing, and follow-through. This is primarily a desk role focused on dispatch, coordination, and communication to keep operations moving and reduce dropped balls.
Key Responsibilities
Ticket + Work Order Management<ul><li>Monitor all inbound tickets/work orders (Guesty/Breezeway and related channels), ensuring every item is acknowledged, categorized, and routed quickly.</li><li>Assign work orders to the appropriate internal team member or vendor based on scope, urgency, location, access, and skill requirements.</li><li>Set clear priorities and escalation paths for urgent issues (same-day turns, guest impacting issues, safety items, VIP/owner arrivals).</li></ul>
Dispatch + Scheduling Support<ul><li>Coordinate daily routing with Field Ops Support, Maintenance, Housekeeping Support, and APM/PM teams.</li><li>Balance workloads across pods/teams and adjust assignments as conditions change (late checkouts, early arrivals, supply shortages, owner requests).</li><li>Support readiness for key moments: owner arrivals, VIP guests, high-occupancy weekends, peak season turnovers.</li></ul>
Communication + Coordination<ul><li>Provide clear ticket notes, expectations, and context to field teams so they can execute without back-and-forth.</li><li>Act as the connector between PMs and shared services (warehouse/linen, maintenance, housekeeping) to prevent delays.</li><li>Communicate status updates to relevant stakeholders (PM/APM, Field Ops Support Managers, Guest Experience, Revenue, etc.) when needed.</li></ul>
Quality + Documentation<ul><li>Ensure work orders are closed properly with notes, photos, and documentation where required.</li><li>Track repeat issues and flag patterns (recurring maintenance issues, supply problems, vendor reliability, process gaps).</li><li>Maintain clean systems: correct categories, tags, property notes, and operational checklists.</li></ul>
Operational Support (as needed)<ul><li>Assist with coordination for supply delivery runs, lockouts, access issues, and time sensitive operational needs.</li><li>Occasionally support on-site verification or coordination during major incidents or peak periods (market dependent).</li><li>Other duties as assigned.</li></ul>
Success Measures<ul><li>Tickets routed within SLA.</li><li>Low rate of reassignment/rework due to incorrect routing or missing info.</li><li>Improved &ldquo;time to resolution&rdquo; and fewer guest-impacting escalations.</li><li>High system accuracy: clean closeouts, consistent notes, fewer &ldquo;mystery&rdquo; tickets.</li></ul> 
Skills &amp; Qualifications<ul><li>2+ years in operations coordination, dispatch, hospitality, property management, or similar role preferred.</li><li>Strong comfort working in ticketing / work order systems (Guesty, Breezeway, Hubspot, etc. a plus).</li><li>Organized, calm under pressure, great at prioritizing and moving fast without dropping details.</li><li>Clear communicator (written + verbal) with a customer-service mindset.</li><li>Able to handle ambiguity and solve problems with limited instruction.</li></ul>
Workplace Environment &amp; Physical Requirements<ul><li>Ability to work in properties requiring walking, climbing stairs, and physical assessment</li><li>Ability to move freely and lift up to fifty (50) pounds without assistance.</li><li>Flexible schedule including weekends, holidays, and on-call support as needed</li><li>Primarily desk/office work</li><li>May require limited local travel for urgent operational need</li></ul></div>
