 Temporary visa processing, Flights reservations, Accommodation arrangement and transportation
 
 in full alignment with
 
 Saudi regulations

 Key Responsibilities
 
 
 
 <ul>
 <li>
 Visa Processing
 </li>
 <li>
 Manage all temporary visas through official Saudi platforms: Like Ministry of Foreign Affairs (MOFA), Visit Saudi
 </li>
 <li>
 Handle All Visa process with the Saudi embassies and the agencies like VFS, Tasheer
 </li>
 <li>
 Maintain strong relationships with visa agencies and embassies
 </li>
 <li>
 Monitor visa reports for the guests and consultants
 </li>
 <li>
 Prepare reports and maintain organized documentation for financial reporting
 </li>
 <li>
 Accommodation Management
 </li>
 <li>
 Arrange accommodation for staff, consultants, guests, and long-term project teams.
 </li>
 <li>
 Negotiate contracts with hotels, Compounds or serviced apartments across major cities.
 </li>
 <li>
 Oversee check-in/out processes, room allocations, utility payments, and maintenance follow-up.
 </li>
 <li>
 Track accommodation occupancy, budgets, and ensure timely renewals or terminations of contracts.
 </li>
 <li>
 Transportation Management
 </li>
 <li>
 Manage all flight bookings, ticketing, and travel arrangement for employees and guests, ensuring cost-effective options and timely travel arrangements.
 </li>
 <li>
 Coordinate daily transport schedules, airport pickups/drop-offs, staff bus routes, and event-related transportation.
 </li>
 <li>
 Supervise internal drivers, third-party transport companies, and vehicle rental providers.
 </li>
 <li>
 Handle urgent travel arrangements, last-minute changes, and emergency rebooking
 </li>
 <li>
 Maintain updated records of travel expenses and support finance with reconciliations and invoicing.
 </li>
 <li>
 Support visa and entry requirements by ensuring flights align with visa issuance and validity periods.
 </li>
 <li>
 Budgeting &amp; Reporting
 </li>
 <li>
 Prepare daily budget report for visas, accommodations, and transportation.
 </li>
 <li>
 Monitor actual spending vs. budget and ensure cost control.
 </li>
 <li>
 Generate regular management reports for the projects and corporate.
 
 
 </li>
 </ul>
 
 Requirements
 
 
 
 
 Qualifications &amp; Requirements
 
 
 
 <ul>
 <li>
 Bachelor&rsquo;s degree in Business Administration, Logistics, or related field.
 </li>
 <li>
 Minimum 3&ndash;5 years experience in visa processing and staff logistics within Saudi Arabia.
 </li>
 <li>
 Strong knowledge of Saudi Laws and visa regulations
 </li>
 <li>
 Experience in Staff logistics in event fields
 </li>
 <li>
 Excellent negotiation, and communication skills.
 </li>
 <li>
 Strong organizational and problem solving abilities.
 </li>
 <li>
 Expert in MS Office and MOFA platforms.
 </li>
 <li>
 English and Arabic language
 </li>
 <li>
 Able to perform effectively under pressure and respond quickly to urgent or emergency situations.
 </li>
