Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. This paid position offers an exciting opportunity to develop your administrative skills and contribute to a dynamic team.Responsibilities<ul><li>Greet visitors, clients, and staff warmly, ensuring a positive first impression at all times</li><li>Manage multi-line phone systems efficiently, directing calls accurately and courteously</li><li>Handle incoming correspondence, including emails, mail, and deliveries with promptness and organization</li><li>Maintain appointment calendars and coordinate scheduling for meetings or appointments</li><li>Support office management tasks such as filing, data entry, proofreading, and document preparation</li><li>Utilize computer skills to update records using Microsoft Office, Google Workspace, and other relevant software</li><li>Assist with clerical duties including photocopying, faxing, organizing files, and maintaining office supplies</li><li>Provide excellent customer support by addressing inquiries professionally and promptly</li><li>Support bookkeeping activities using QuickBooks or similar accounting software when needed</li><li>Uphold phone etiquette standards while managing client interactions and internal communications</li></ul>Qualifications<ul><li>Proven office experience with strong organizational skills and attention to detail</li><li>Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools</li><li>Prior clerical or administrative experience preferred; experience in medical or dental reception is a plus</li><li>Strong customer service skills with the ability to handle inquiries professionally and courteously</li><li>Familiarity with multi-line phone systems and office management procedures</li><li>Bilingual abilities are highly desirable to serve diverse client needs effectively</li><li>Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced environment</li><li>Typing speed of at least 40 words per minute with high accuracy; proofreading skills are advantageous</li><li>Knowledge of office management practices such as filing systems, data entry, and calendar management</li><li>Personal assistant or medical receptionist experience is beneficial but not required; training will be provided for specific duties</li></ul>Join our team as a Front Desk Receptionist to be the friendly face that keeps our office running smoothly!
