</p><p><b>Job Summary:</b> The administrative assistant is responsible for clerical support to the program director and other staff members which includes telephone reception, office management, and data entry while maintaining compliance with agency policies and procedures and established state/federal standards and requirements.<br>

<b>Essential Functions:</b><br>
1. Administrative Tasks:<br>
a. Accept and screen incoming communications.<br>
b. Assist with intake processes.<br>
c. Data entry and maintenance of client information.<br>
d. Manage case files.<br>
e. Manage purchasing and inventory.<br>
f. Assist with budget tracking.<br>
g. Type and design documents.<br>
h. Coordinate travel arrangements.<br>
i. Support staff with administrative tasks.<br>
2. Communication and Collaboration:<br>
a. Work with various staff members and stakeholders.<br>
b. Attend meetings and trainings.<br>
c. Provide community outreach.<br>
3. Client Services:<br>
a. Provide follow-up activities with clients and families.<br>
b. Maintain familiarity with community resources.<br>
c. Provide 24-hour on-call services (FAYS and HOPES).</p><p><b><br>
Measurable Deliverables:</b><br>
1. Maintain accurate records and documentation.<br>
2. Submit reports and requisitions on time.<br>
3. Attend required trainings.<br>
4. Maintain office equipment and supplies.<br>
5. Track budgets and expenses.<br>

e. Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team.<br>

Requirements:</b><br>
1. Maintain certificates required for the position including but not limited to First Aid and CPR.<br>
2. Valid Texas Driver&rsquo;s license with a clear driving record and reliable transportation.<br>
3. Pass a pre-employment drug screen and random drug screens.<br>
4. Provide proof or work eligibility status upon request.<br>
5. Pass a pre-employment and biennial criminal background and motor vehicle check (fingerprints needed if applicant has lived out of state within the past 5 years).</p><br>

Administrative Assistant

Education: Required - Bachelor or undergraduate degree from an accredited university, in<br>
one of the following areas: Social Work, Sociology, Psychology, Counseling, or Criminal<br>
Justice.</div><div></div><div>
Experience: Required - 2 years of experience providing direct case management services. A<br>
Master&rsquo;s degree in a social service-related field may be used to substitute for one year of<br>
experience. Required- 1 year of experience providing intensive in home- based interventions.</div><div></div><div>
Summary: The Case Manger is responsible for using sound professional judgement and best<br>
practices to provide case management to the service population including crisis intervention as<br>
needed while maintaining compliance with established state and federal standards.</div><div></div><div>

Essential Functions:<br>
1. Provides intensive home-based intervention case management services using a Trauma- Informed<br>
Care approach to provide service planning and documentation of services for<br>
assigned caseload.</div><div>
2. Provide crises intervention responding promptly and professionally to crises situations with<br>
clients at the office, during home visits and on phone calls (within business hours) using<br>
independent judgement and discretion.<br>
3. Develop, monitor, and review Individual Treatment Plans designed to increase strengths,<br>
address needs, and reduce conflict in the home.<br>
4. Provide linkages to community resources for clients to assist with enrollment in public<br>
assistance, childcare assistance, employment assistance, medical needs, and support in obtaining<br>
critical documents such as birth certificates and SS/ID cards and transportation needs.<br>
5. Assist in locating appropriate housing for clients upon exit from the Transitional Housing<br>
program.<br>
6. Mandated reporter - Report any suspected abuse or neglect to the program supervisor and all<br>
appropriate state and county enforcement agencies.<br>
7. Attend and participate in; staff meetings, in-service trainings and UCAP events.<br>
8. Participate in weekly face to face or phone supervision with the supervisor.<br>
9. Frequent travel to assist clients with community resource connections as needed.<br>
10. Meet all deadlines required by program supervisor and state/federal partners.</div><div></div><div>
Measurable Deliverables:<br>
1. Meet all federal and state regulatory guidelines and standards that are applicable to this<br>
position.<br>
2. Maintain a caseload in accordance with agency policies and procedures and licensing and<br>
contract standards.<br>
3. Provide services to youth enrolled in the Transitional Housing Program.<br>
4. Complete training and received ongoing education on skills necessary for conflict<br>
resolution, anger management, parenting, etc.<br>
5. Conduct follow up calls and/or visits to young adults in crises situations and complete safety<br>
planning as needed.<br>
6. Compile, prepare, submit and maintain accurate case records, files, forms and additional<br>
information in accordance with agency policies, licensing and/or contract requirements.<br>
7. Work flexible hours as needed including evenings, weekends and holidays when approved by<br>
supervisor or to resolve crisis situations when they arise.<br>
8. Implement BCFS HHS safety protocols including evacuating with children and other staff in case<br>
of an emergency.<br>
9. Maintain confidentiality in all areas of the service population and program operations.<br>
10. Maintain BCFS HHS professional and ethical standards of conduct outlined in the BCFS employee<br>
policy manual including demonstrating respect for agency staff, the service population,<br>
and community members and complying with the required dress code, at all times.</div><div></div><div>
Credentials, Skills and Abilities:</div><div>
