Position: Administrative Assistant to Pupil Services
Reports to: Director of Pupil Services
Employment Status: Confidential Staff Position (non-union) 
Position Summary<ul><li>
Assist Director of Pupil Services</li><li>
Coordinate all clerical duties in Pupil Service department</li></ul>
Required Education, Experience &amp; Qualifications<ul><li>
High School education or equivalent</li><li>
Excellent computer skills with knowledge of various computer applications appropriate to duties</li><li>
Meet all health requirements mandated by law</li><li>
Experience in secretarial/clerical work preferred</li><li>
Satisfactory completion of the BCI and FBI background check</li><li>
Possession of a valid motor vehicle license</li></ul>
 Job Responsibilities &amp; Duties<ul><li>
Assist the Director of Pupil Services with the coordination of activities, reports and agreements related to pupil services programming including but not limited to</li><li><ul><li>
Manage the Director&rsquo;s calendar and scheduled appointments, correspondences, required board resolutions, contracts for service, purchase orders, etc.</li><li>
Maintain testing records and notification of staff for 3-year evaluations, annual IEP&rsquo;s, 504s, and referrals for NonPublic student evaluations.</li><li>
Prepare annual tuition agreements for districts participating in the D/HH consortium program; collaborate with treasurer&rsquo;s office on tuition billing to consortium schools (CEVEC, Excel TECC)</li><li>
Coordinate transportation arrangements for out-of-district placement of students with the transportation department</li><li>
Collect and enter Special Education data into EMIS of required special education</li><li>
to meet ODE child count submission deadlines</li><li>
Maintain records for state audits and annual reports, including the catastrophic costs reporting. extended school year services for students, staff and facility scheduling</li><li>
Maintain a complete and accurate confidential file for every child in district and out-of-district that receive special education services
</li></ul></li><li>Prepare purchase requisitions/order equipment and other supplies</li><li>
Participate in professional development activities; stay abreast of new developments that affect job responsibilities</li><li>
Provide dependable, competent service that is thorough, accurate and effective</li><li>
Act as a unifying source, maintain excellent relations with co-workers and supervisors</li><li>
Receive, process, facilitate, and disseminate student/instructional program information between the school office, school district, public and community agencies, parents, staff, and students, as needed</li><li>
Maintain the confidentiality of sensitive information</li><li>
Provide training, guidance and assistance to other school site personnel; serve as a resource regarding applicable rules, regulations, policies and procedures</li><li>
Utilize various technologies, including email, student information system, and calendar
</li><li>Perform other duties as assigned</li><li>
Required Knowledge, Skills, and Abilities</li></ul><ul><li>
Ability to work effectively with others as part of a team</li><li>
Ability to produce accurate and quality work with little supervision and high motivation to meet deadlines</li><li>
Knowledge of correct English usage, grammar, punctuation, vocabulary, and spelling</li><li>
Strong organizational and multitasking skills required</li><li>
Knowledge of Federal and State special education compliance requirements to effectively respond to routine questions and requests from staff members and the community
</li><li>Knowledge of effective office principles, procedures, and practices including indexing, filing systems and maintenance, telephone techniques, and report writing</li><li>
Knowledge of computer office software application programs utilized for communication, accounting, word-processing</li><li>
Ability to quickly identify problem areas or situations, isolate problem causes and take appropriate action to resolve problems identified</li><li>
Ability to diffuse volatile situations with tact and diplomacy and have the knowledge of when to respond to a request directly or refer to a District administrator</li><li>
Ability to perform a variety of administrative secretarial/clerical support work with speed and accuracy</li><li>
Ability to type and prepare correspondence, memorandums, forms, and concise reports</li><li>
Personal &amp; Professional Conduct Requirements</li></ul><ul><li>
The employee shall exercise honesty and integrity in their relationship with the Board of Education and the administration.</li><li>
The employee shall follow any applicable licensure code of conduct.</li><li>
The employee shall immediately report known and suspected misconduct of their co-workers or violations of Board policy and procedure by their co-workers.</li><li>
The employee shall actively support the efforts of the Board of Education, Superintendent, and Treasurer/CFO in the pursuit of the District&rsquo;s mission, goals, activities, and interests.</li><li>
The employee shall not disrupt District operations or undermine the District&rsquo;s mission, goals, activities, and interests.</li><li>
The employee shall interact in a positive manner with staff, students and the public and promote a positive image of the District through exemplary personal and professional conduct by:</li><li><ul><li>
Communicating clearly and effectively both orally and in writing, with tact, diplomacy and excellent grammar;</li><li>
Demonstrating intercultural awareness and cultural competency;</li><li>
Using effective listening skills; and</li><li>
Remaining free of any alcohol or controlled substance abuse and the influence or aftereffects thereof in the workplace or at school events and activities.</li></ul></li></ul>
 Physical Demands<ul><li>
Ability to hear and speak, read and write, sit and/or stand for extended periods of time, use hands to operate a computer and other equipment, kneel, bend at the waist, reach overhead &ndash; above the shoulders and horizontally, to retrieve and store files and supplies, ability to lift, carry, push and pull items up to a maximum of fifty (50) pounds.</li></ul>
