Job Overview We are seeking a dynamic and organized person whom enjoys working in several different roles. The starting salary is between 35,000 to 45,000 and will grow with you as you develop, learn new skills, and become an invaluable part of our daily operations. This multifaceted role is vital in ensuring smooth office operations, exceptional customer service, and accurate financial processing. You will be the first point of contact for visitors and callers, manage administrative tasks efficiently, and handle accounts payable responsibilities with precision. If you thrive in a fast-paced environment, possess excellent organizational skills, and enjoy supporting a busy office, this position offers an exciting opportunity to contribute to our company's success and grow your career.Duties<ul><li>Greet visitors and answer multi-line phone systems with professionalism and friendly customer support</li><li>Manage front desk operations, including scheduling appointments and maintaining a welcoming environment</li><li>Handle data entry, filing, and document proofreading to ensure accuracy and organization</li><li>Process accounts payable transactions using Foundation accounting software, verifying invoices and preparing payments</li><li>Organize invoices from the field and assign them to the appropriate project and pay item</li><li>Look for ways to innovate current procedures to create new and more efficient methods</li><li>Maintain office records filing systems and digital organization using a variety of different tools</li><li>Assist team members with personal assistant duties, including calendar coordination and time management</li></ul>Requirements<ul><li>Professionalism in all aspects of daily tasks including speech and appearance</li><li>Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)</li><li>Ability to learn our bookkeeping software for accounts payable processing</li><li>Excellent phone etiquette and organizational skills to handle multiple priorities efficiently</li><li>Bilingual abilities are a plus to assist diverse clients and team members effectively</li><li>Demonstrated ability to manage time effectively, prioritize tasks, and maintain attention to detail during data entry and proofreading</li></ul>We look forward to welcoming a new team member to a job that we hope will become a long term career.
