Position Summary:The Deputy Clerk- Legal performs a variety of administrative, clerical, andrecordkeeping duties in support of court operations with the Legal Department. This roleis responsible for maintaining official court records, processing legal documents,assisting the public and legal professionals, and ensuring compliance with courtprocedures and legal requirements.Key Responsibilities:<ul><li>Document Processing: Receive, process, file and maintain a variety of legal documents including case filings, pleadings, motions, court orders, judgments and subpoenas.</li><li>Mail and Communication: Process incoming and outgoing mail, distribute court notices, and manage electronic communications.</li><li>Data Entry: Accurately enter case data into the court's case management system and update records as cases progress.</li><li>Cash Handling: Collect and process payments for fines, court fees, and other assessments; balance daily receipts and issue appropriate documentation; ensure secure handling of funds and accountability.</li><li>Compliance and Quality Control: Review legal documents for completeness, correctness; ensure accuracy, timeliness, and legibility before filing; identify and report discrepancies or missing information. Ensure documents are filed in accordance with court rules, legal standards, and statutory requirements.</li><li>Record Keeping and Retention: File, archive, safeguard, and maintain legal records in compliance with state records retention laws and court rules; prepare files for transfer to the Records Center as necessary.</li><li>Office Support: Provide clerical support to other departments as needed, including mail handling, scanning, filing, and copying.</li><li>Collaboration: Work closely with court, prosecutor, law enforcement, and other internal and external partners to support effective court operations.</li><li>Public Relations: Represent the office in a professional manner when dealing with the public, attorneys, and other government agencies.</li><li>Customer Service: Respond to inquiries from court staff, the public, attorneys, law enforcement, and other stakeholders regarding court procedures, case statuses, and filing requirements. Assist attorneys, litigants, and the public with requests for copies, file reviews, and document certification, while complying with confidentiality rules.</li><li>Training Participation: Attend online and in person required trainings as required.</li><li>Confidentiality: Handle sensitive information with discretion and maintain confidentiality in accordance with all office policies and laws.</li><li>All other duties as assigned.</li></ul>Qualifications:<ul><li>High school diploma or GED required. Associate&rsquo;s or Bachelor&rsquo;s degree in Criminal Justice, Public Administration, or a related field preferred.</li><li>1&ndash;2 years of clerical experience in a legal, court, or government office preferred.</li><li>Ohio Notary Public Commission or in the alternative, willing to obtain said commission.</li></ul>Preferred Skills:<ul><li>Proficiency with office software (e.g., Microsoft Office) and familiarity with case management systems (i.e., CourtView), other court technologies and records management.</li><li>Familiarity with local, state, or federal court structures and administrative procedures.</li><li>Knowledge of local, state, or federal court rules and regulations.</li><li>Knowledge of legal terminology, court procedures, and records management.</li><li>Strong organizational skills.</li><li>Excellent written and verbal communication skills.</li><li>High level of accuracy and strong attention to detail in document handling and data entry.</li><li>Experience in high-volume legal processing environments.</li><li>Familiarity with public records laws and public records request procedures.</li><li>Ability to handle high-pressure situations and interact with diverse populations professionally.</li><li>Ability to work independently and manage multiple deadlines.</li><li>Ability to work with confidential records and follow strict policies and procedures.</li></ul>Job Type: Full-timePay: From $35,360.00 per yearBenefits:<ul><li>Dental insurance</li><li>Health insurance</li><li>Health savings account</li><li>Life insurance</li><li>Paid time off</li><li>Vision insurance</li><li>Wellness program</li></ul>Work Location: In person
